Prepare a presentation-content brief for AV hire

An AV presentation brief should explain what the audience will see and hear, not simply request a projector. List the actual content, its owner and the device or source proposed for playback. Fables can then discuss the offered equipment and connections against that information. Keep a clear distinction between a presenter's preference, a proposed arrangement and the content and devices actually confirmed for the booking.

List the content and intended source

List presentations, videos and other content with the device or source proposed for each. Separate slide presentations from video, recorded speech or other material that may have its own requirements. Name the programme entry where each appears. A general promise that a presenter will bring a laptop leaves the supplier without the content and playback context needed for the discussion.

Give each presentation an owner

Record presenter ownership, file/version responsibility and any audio requirement. Identify who supplies the final material, who approves it and who can answer questions. Record any sound accompanying a presentation explicitly. Version responsibility matters when several people contribute files: the operator needs a clear route to the person who can confirm the version intended for use.

Ask about the actual equipment proposal

Ask Fables to confirm the offered projector/screen and compatible connections rather than inventing formats. Give Fables the intended device information and any requirements raised by the presenter. Ask which offered projector, screen and connection arrangement is proposed for this booking. Do not choose an adapter or input format on behalf of equipment whose specification has not been confirmed.

Agree a representative check

Agree a representative content test and final handoff process. Ask who receives the content, how it should be supplied and which practical check can be agreed. Use a representative file and the intended source where that is the reviewed arrangement. If content or a device changes afterwards, ask whether another check or revised connection discussion is needed.

Maintain a content and source matrix

Produce a content/source matrix with compatibility questions left for supplier confirmation. Keep filenames, programme positions and confirmed devices together, with unresolved questions labelled clearly. Send the current matrix with the current running order. When a new version replaces a file, mark the earlier one as superseded rather than leaving the operator to decide between similar-looking attachments.

Record Detail to agree
Programme entry Presentation or video and intended point in the event
Content owner Person approving and supplying the final version
Device or source Actual playback proposal and responsible provider

Handover status Current version, check arrangement and open questions

Questions about this worksheet

Does a projector booking confirm every file or device will work?

Send the actual content and device information and ask Fables to confirm the proposed arrangement. The published equipment range does not establish every input, format or connection; compatibility needs review for the material intended for this event.

Who should approve the final presentation version?

Name the person responsible for each presentation and use the handover process agreed with the actual operator or supplier. Record that approval and version clearly so the programme is not delivered using an attachment that another contributor later replaced.
