Connect arrival, dining and evening drinks service

An event may have several drinks arrangements that feel like one experience to guests. Welcome drinks, table service and an evening bar can involve different equipment or teams. A connected service map helps the organiser identify the handovers before they become gaps in the guest journey. This guide focuses on those transitions rather than choosing the drinks menu.

Draw the guest journey in service periods

Begin with arrivals and write down where guests go next. Mark each place they are offered drinks and the times that area is used. Include any move between an outdoor reception, dining room and evening entertainment.

Beside each period, name the provider you expect to handle the drinks. If a provider is not yet chosen, leave the point open as a question. This makes it easier to discuss the actual event with Fables than presenting several disconnected requests for drinks equipment.

Ask what remains with each provider

Confirm the boundaries of the venue, caterer and bar proposals. Ask whether a team supplies drinks, staff, equipment or only a particular part of the service. A provider may be involved in the reception without being responsible for the later bar.

Record when each responsibility begins and ends. The next team needs a clear handover, especially if it uses a different room or stock. Avoid treating a general package name as an explanation of who will perform every task across the day.

Follow the glassware between locations

Discuss what guests do with glasses when they move. Ask who collects items left in the earlier area and whether the next service uses a separately agreed supply. The equipment map should reflect where pieces are needed, not simply where the event started.

If any glassware is intended to be reused, get the practical arrangement confirmed by the relevant suppliers. Do not assume that somebody will wash, relocate or replenish it between periods. Keep the accepted equipment quantities and clearing tasks connected to the timetable.

Coordinate drinks around the meal

Give the catering team the proposed drinks service timings and ask where its meal service connects. Identify any planned pause, speeches or drinks moment that affects staff movement. Make sure the room plan shows access to dining tables and the bar’s working area.

If the venue supplies some table drinks, note that contribution clearly. Ask who places them, serves them and handles the remaining items. The organiser should be able to explain the whole dining arrangement without relying on each supplier to guess what the other has included.

Explain the evening transition to guests

Once the arrangement is agreed, decide what guests need to know when the event changes phase. That may include the location of the bar, when service begins and how the accepted payment model operates. Keep announcements or printed information consistent with the actual booking.

Give the bar lead a contact for questions during the handover. If a room reset or entertainment start affects service, include it in the shared schedule. Avoid a transition where guests are directed to a service point that is still being prepared.

Review the complete map with the event team

Bring the service periods, locations, provider responsibilities, glassware and payment information onto one dated sheet. Ask the relevant teams to confirm their parts. Keep unresolved items visible until the person responsible answers them.

Update the map when a supplier, location or timetable changes. A simple accepted service map can support several separate quotations while showing the organiser that every handover has an owner. It also gives the venue a clear overview of the drinks experience planned for its spaces.

Questions to settle before booking

Can different teams handle welcome drinks and the evening bar?

Discuss the proposed division and record exactly where each team’s responsibility starts and ends. Confirm stock, glassware, clearing and service times for both rather than assuming a handover is included.

What if guests move while still holding drinks?

Explain the move to the venue and service teams. Ask how glassware will be collected, relocated or replaced by agreement, and include any affected staff tasks and equipment requirements in the accepted plan.
