Fit inflatable hire into your event timetable
A useful inflatable timetable begins before guests use the attraction and ends after that activity finishes. Delivery access, setup, handover and take-down each need an agreed place in the event plan. This guide helps you connect those stages with the venue and other suppliers without assuming that the guest-facing hire period is the whole working schedule.
Start with the venue access window
Ask when suppliers can enter and when the proposed area becomes available. Include any booking immediately before or after your event that affects the space. Share access restrictions and the contact who can admit the team.
Do not request an arrival time solely by subtracting a guessed setup duration from the party start. Give Fables the actual access window and ask for the proposed schedule for the selected equipment. The arrangement should reflect confirmed requirements rather than an organiser’s estimate.
Coordinate other setup work
List suppliers working near the inflatable position or using the same vehicle route. Furniture, catering and entertainment may all need access before guests arrive. Ask the relevant people to agree the sequence where their work overlaps.
Keep the accepted site position visible on the event drawing. A late change in another supplier’s setup can affect the available area or route. Review the consequence with Fables instead of assuming the inflatable can be installed wherever a gap remains.
Allow for the agreed handover
Identify the person who receives the equipment-related instructions and confirms the site arrangement with the team. Ask how that handover fits the proposed schedule. If a different person supervises use, make the information transfer explicit.
The activity should not be scheduled around an unstated assumption that someone is already briefed. Keep the named responsibilities and relevant supplier contact with the event lead. Delivery, supervision and event coordination may be different roles even where one person performs more than one.
Connect use periods with the wider programme
Show the times when you intend guests to use the attraction and any periods when the event focuses elsewhere. Explain expected age groups and changing attendance to the supplier. Ask how the proposal fits the selected unit’s instructions and supervision arrangement.
If a ceremony, food service or another activity changes timing, identify whether the inflatable plan is affected. Contact the relevant supplier before treating a revised programme as an amended hire agreement. The event schedule should reflect the accepted booking, not silently extend it.
Plan the finish and take-down access
Ask when use should finish under the agreed arrangement and when the team needs access for take-down. Check the venue’s departure deadline and who remains to meet the supplier. Keep the operating area and route available as agreed.
Consider how guest parking or equipment from other suppliers changes the site by that time. A clear delivery route can become obstructed later. Confirm who coordinates those movements and how the venue contact can resolve an access question at collection.
Give the team one accepted schedule
Bring venue access, delivery, setup, handover, use periods and take-down into one dated timeline. Name the contact at each stage and share the accepted version with Fables and the venue. Mark estimates clearly until the relevant supplier confirms them.
Review the whole chain when a key time changes. An earlier venue close or later ceremony finish may affect more than the activity itself. Ask for the revised arrangement to be accepted so the event lead and supplier are working to the same practical plan.
Questions to settle before booking
Can delivery be booked for the time the party starts?
Give Fables the venue access times and intended guest-use period, then ask for the proposed delivery and setup schedule. Do not assume installation and handover can happen within the guest-facing start time.
What if our event programme runs later?
Contact the supplier to confirm any effect on the agreed use and take-down arrangement. A changed programme does not automatically amend the equipment booking, staff responsibilities or venue access window.
