Coordinate inflatable power and delivery access
Power and access are separate questions that need to work together at the agreed inflatable position. A venue address and a nearby electrical outlet do not provide the whole brief. Ask Fables for the requirements of the proposed equipment, then coordinate the relevant arrangements with the venue and any power supplier. This guide helps you collect the information without guessing specifications.
Identify the actual proposed equipment
Ask the quotation to name the inflatable being offered and identify the information needed to review its power and delivery arrangement. Keep the response with your site plan. Do not use the requirements of another unit or a general example as a substitute.
Tell the team about any additional equipment being planned nearby. The people coordinating the event need to understand the whole arrangement, but each supplier should confirm the requirements of its own items rather than relying on assumptions passed between organisers.
Show the available supply on the drawing
Mark the power facilities the venue has actually offered and their location relative to the proposed position. Distinguish confirmed facilities from those you merely hope to use. Send the relevant information to the supplier and ask what further details are needed.
Do not assume an outlet is suitable because it is close to the pitch. Ask the relevant suppliers to agree the requirements, connections and distribution. Keep the accepted arrangement in writing so a setup decision does not depend on a different person’s informal recollection.
Coordinate other suppliers using the same area
Give the event power coordinator the confirmed requirements from the inflatable supplier alongside those of catering, sound, lighting and other equipment. Show operating periods and locations. The purpose is to let the relevant people plan a combined supply rather than making an independent calculation yourself.
Ask who is responsible for any agreed cabling or distribution and how it fits the venue layout. Keep guest routes and supplier work areas visible. A connection arrangement should be accepted by the responsible providers before it becomes an instruction in the event plan.
Describe delivery from stopping point to position
Explain where the vehicle can stop and how equipment reaches the agreed site. Include gates, turns, steps, lifts or distances that may affect handling. Add the venue’s delivery windows and any periods when the route is occupied by guests or other suppliers.
Ask the team to review these conditions for the selected equipment. If the venue suggests a different entrance, send that revised route for confirmation. A route that works for guests does not automatically answer the supplier’s equipment access question.
Keep collection access in the same brief
Check how the route changes during the event. Parking, furniture and other installations may occupy space that was clear at delivery. Agree how the collection team reaches the equipment at the relevant time and who can provide venue access.
Name the person meeting the team for both stages. If they are different people, give each the accepted plan. Do not rely on a contact who leaves before take-down or a gate that nobody is responsible for opening.
Confirm revisions before using the plan
Bring equipment identification, power arrangements, site position, access route and timings into one dated brief. Ask the responsible suppliers to confirm their parts. Share it with the event lead and venue contact who will use it during setup.
If the pitch, supply or vehicle route changes, review the affected requirements with Fables and the relevant providers. Do not treat an apparently similar arrangement as automatically approved. The final brief should describe the setup that has actually been accepted for your event.
Questions to settle before booking
Is a nearby socket enough information for the enquiry?
Show its location and the venue’s offered facilities, then ask the supplier what further information is needed for the selected inflatable. Suitability, connections and distribution need confirmation from the relevant providers.
Can power and access be settled with different contacts?
Yes, but bring their accepted arrangements into one shared brief. Each should know the proposed position, timings and responsible person, and any change affecting the other arrangement should be reviewed before the event.
