Make a responsibility list for dry bar hire
Dry bar hire can suit an organiser who wants to supply drinks while arranging selected equipment and services separately. The important planning document is a responsibility list. It explains who supplies each item and who performs each task, from receiving stock to leaving the hired bar ready for collection. Begin that list before comparing quotations.
Describe the service you want to run
Write down what guests will be offered and when. Explain whether drinks are collected from the bar, carried to tables or served elsewhere at particular moments. Note which parts of the day the bar needs to support, rather than describing only an evening start time.
This gives the suppliers a shared definition of the service. A request for a bar counter and a request for a complete drinks operation are different briefs, even if both use the same visual style.
Identify the hired equipment line by line
Ask which bar and accessories are included in the proposed dry hire. Record the agreed pieces, not everything visible in an example photograph. Fables describes a vintage wooden bar and accessories in its dry-hire offer; the actual quoted inventory should establish what is supplied for your booking.
Mark equipment being provided by the venue or another supplier separately. Include questions about glassware, chilling and any other required items, leaving unanswered points visible until the relevant provider confirms them.
Assign stock and consumables to a named person
If you provide drinks, identify who chooses, orders, receives and transports them. Keep ice and other requested consumables on the list rather than assuming they arrive with the bar equipment. Ask the people operating the service what information and arrangements they need.
Set a handover deadline that allows the agreed setup to happen. If several friends or suppliers are bringing different items, give them one receiving contact. The event-day team needs to know what has arrived and where it belongs.
Separate staff booking from equipment delivery
Fables offers optional bartenders alongside dry hire. Ask for the tasks and hours in the staffing proposal, including preparation and closing work where required. Equipment delivery should not be treated as confirmation that someone remains to serve drinks throughout the event.
If you provide your own service team, explain that arrangement to the venue and equipment supplier. Clarify who receives operating or handling instructions and who can answer questions. Keep wider table clearing separate unless it has been included explicitly.
Agree the facilities and venue handover
Show the proposed position, storage area and access route to the bar team and venue. Tell them which utilities or venue equipment you hope to use, then ask what can be agreed for the selected setup. Do not assume that a counter supplies power, refrigeration or a preparation area.
Confirm who handles any venue requirements, requested permissions or documentation. The useful output is a named responsibility beside each question. An unresolved point should remain open rather than becoming an implied inclusion in somebody else’s booking.
Plan the end as carefully as the opening
List the jobs remaining after drinks service: stock handover, clearing agreed areas, preparing hired equipment and giving collection access. Name the person who keeps or removes stock you supplied. Check the venue’s departure deadline against the proposed collection arrangement.
Before confirming, compare the responsibility list with every quotation. If a task or item has no owner, resolve it directly. Share the accepted list with the organiser, venue and service lead so dry hire becomes a complete practical arrangement rather than a set of separate assumptions.
Questions to settle before booking
Does a dry-hire quote include bartenders?
Ask for staffing to be identified explicitly, with the agreed hours and duties. Fables discusses optional bartenders alongside dry hire, but equipment delivery does not itself confirm an event-long service team.
Should we order drinks before discussing the bar setup?
Share your intended drinks list and service plan first. Ask what the operating team and venue need, then arrange stock and consumables against the accepted responsibility list rather than an equipment photograph.
