Build an Event Security Contact Structure

A security contact structure should help a practical question reach the right responsible person. It should also explain who takes over when the original organiser is occupied or leaves the site.

Agree the actual communications and handover arrangements with Fables and the venue. This page does not prescribe a response procedure or promise particular communication equipment.

Nominate decision-makers

Identify the organiser responsible for event decisions and the venue contact responsible for venue instructions. Explain which matters each person can answer so the provider is not given an unlabelled list of names.

Ask the named people to accept their roles and confirm when they will be available. A title on a planning sheet is not useful if its owner does not know they may be contacted during the event.

Choose a reachable event contact

Choose a practical event contact who expects to be reachable while the agreed duties are being carried out. The main host may be occupied with a ceremony, presentation or photographs, so another coordinator may be needed.

Identify a replacement for a later period where relevant. Keep the handover clear rather than listing several people as equally responsible without explaining who is current. Send that information through the provider's agreed planning route.

Ask about communications arrangements

Ask Fables how the proposed team will communicate with the organiser and venue, and which contact information is needed for the accepted arrangement. Confirm any equipment or assistance included rather than assuming a method from another event.

Keep the provider's actual instructions with the plan. The organiser's sheet should record agreed routes and responsibilities, not invent technical settings or operational instructions for people performing the duties.

Explain the handover route

Show when responsibility changes and what information the outgoing contact hands over. The current programme, accepted duty scope and unresolved question list may all matter to the incoming coordinator.

Ask the relevant provider how changes should be reported and who can confirm an amendment. An organiser's internal handover should not imply that the new contact may extend duties, hours or areas without the provider's agreement.

Keep personal information limited to need

Share contact details only with the people who need them for the accepted work. Use the appropriate private planning channel rather than putting personal telephone numbers on public signs or a general guest document.

Keep one dated contact sheet with the security arrangement. Tell the venue and provider when it replaces an earlier version, especially if an original contact will no longer be present during the agreed duty period.

Your finished planning sheet

  • Named organiser and venue decision contacts.
  • A reachable current event coordinator and accepted replacement.
  • Provider-confirmed communication route and required details.
  • A clear handover point and current documents.
  • Contact information shared only with appropriate recipients.

Questions to settle

Does a contact sheet define an incident response procedure?

No. It records agreed people and communication routes. Follow the actual venue and provider arrangements rather than inventing a procedure from this planning aid.
