Separate Event Security Duties by Time and Place

A phrase such as event security can hide several different requests. Listing those requests separately makes it easier to discuss what is being proposed and who is responsible for each part.

The finished duty schedule should reflect the actual arrangement accepted by Fables and the venue. This guide does not assign powers, prescribe staffing or confirm that every requested task can be supplied.

Name each requested task

Write down the work you want considered in plain language. Explain the intended outcome rather than relying on a broad job label. For example, a request concerning guest arrivals should describe the arrival process and questions the organiser expects to raise.

Keep proposed tasks distinct from work already accepted by the venue or another provider. A clear list helps identify both overlap and omissions before a quotation becomes the basis of the event programme.

Identify its location

Give every requested duty a location reference matching the current site plan. An entrance, room or outdoor area needs a consistent name so the provider can connect the task with the right part of the venue.

Note where a location is shared with supplier movements, other guests or public activity. Ask the venue and provider to review the actual arrangement. A place marked on your drawing is a discussion point, not an approved operational position.

Show when it is needed

Put the intended time period beside the task and show overlaps. Guest arrivals may continue while another activity begins, or a later requested presence may be in a different area from the first duty.

Include briefing and handover questions rather than assuming that the main event hours describe every part of the proposed work. Ask Fables to set out the working periods actually accepted and any outstanding issue created by simultaneous requests.

Separate venue and organiser responsibilities

Identify which responsibilities remain with the organiser, venue or another provider. Name the person who maintains the guest information, answers venue questions or authorises an organisational change as relevant to the agreed scope.

Do not transfer a responsibility by writing another supplier's name beside it without their agreement. Ask the responsible people to confirm the division and keep the accepted version available to the person coordinating the event.

Ask which duties can be accepted

Review the task list with Fables and ask which duties the proposed personnel will carry out, what relevant licence information can be provided and what is excluded or awaiting further discussion.

Keep the confirmed schedule with the event security proposal. If a new entrance, activity or period is added, raise it for review rather than treating it as covered automatically because the event date is unchanged.

Your finished planning sheet

  • A separate line for each requested task.
  • A location name matching the site plan.
  • The relevant period and any overlap with another request.
  • Confirmed organiser, venue and provider responsibilities.
  • The accepted scope, exclusions and unresolved questions.

Questions to settle

Does adding a task to our schedule make it part of the booking?

No. The proposed provider must confirm the duties and working arrangements it accepts.
