Agree a Guest Entry Process for a Private Event
A private event's guest-entry discussion needs a reliable source of invitation information and a clear route for questions. Without those, different people may give conflicting answers at the same entrance.
Agree the actual process with the venue and proposed security provider. This planning guide does not grant admission authority, define screening powers or replace the provider's own confirmed arrangements.
Identify the current guest source
Identify how the organiser keeps the current invitation or guest information and who owns that version. Explain the practical format to the relevant provider and ask what information is needed for the agreed task.
Keep unnecessary personal details out of the document. A widely circulated event timetable should not become a copy of a private guest list. Share the necessary information only with the people who need it for the accepted arrangement.
Name the person correcting errors
Name the organiser who can resolve an error in the guest information. Confirm that the person will be reachable during the relevant arrival period and identify an alternative contact if their role takes them elsewhere.
Make clear how a correction is communicated to the relevant team. Several relatives or colleagues sending independent updates can create conflicting versions. Ask the responsible people to use the accepted route and current source.
Define the exception contact route
Discuss who should receive an exception or uncertainty and how the agreed provider will raise it. The organiser may need to clarify an invitation question, while a venue or provider issue may require a different contact.
Record that division without inventing an operational response. The point is to let the people carrying out the accepted duty know where a question belongs, rather than leaving them to interpret an informal instruction from an unidentified guest.
Coordinate venue instructions
Ask the venue for the entrance and arrival instructions applying to the event. Show whether guests, suppliers or another activity use separate routes, and connect those instructions with the current site plan.
Check that the proposal and organiser's guest process are consistent with the venue's requirements. If there is a conflict, ask the relevant people to resolve it before issuing a final brief. Do not circulate two incompatible sets of instructions as equally current.
Brief the team on the agreed process
Give the agreed lead the final dated information through the accepted contact route. Confirm the arrival period, responsible organiser and venue contact, together with the practical process the provider has agreed to follow.
Keep the security booking and the wider event programme connected. If the guest-arrival period or entrance changes, tell the relevant provider and ask for the revised arrangement to be confirmed.
Your finished planning sheet

- An agreed route for exceptions or uncertainty.
- The venue's accepted entrance and arrival instructions.
- A final dated brief shared only with appropriate recipients.
Questions to settle
Should the full guest list be copied into the general supplier timetable?
No. Keep the general programme limited to relevant practical details and share necessary guest information only through the agreed appropriate route.
