Prepare a festoon-lighting appearance and photography brief
A measured site plan explains the space. This creative brief explains which visible details matter to you in that space: the view of the lighting lines, the background and the photographs you want to discuss. It records preferences for review, without turning an inspiration image into an installation design.

Choose the viewpoints that matter
Identify a small set of actual positions from which you care about the appearance: for example, an arrival view, a dining view or a photograph the host wants discussed. Name each viewpoint on the existing measured plan. Add a separately held venue-photo reference showing the present background. The installer and photographer can then discuss the preference in relation to the real site.

Annotate the detail, rather than copying a whole photograph
For each inspiration image, describe the particular visible feature you like. That might be how the lighting lines appear within a frame, the sense of a defined dining area, or how much of the background remains visible. Record what you do not want copied too. Keep the reference image and permission to use it with your own planning materials; this worksheet does not upload or reproduce it.

Separate preferences from confirmed arrangements
Use “preference”, “question” and “confirmed reference” as distinct labels. Describe a desired appearance without selecting fixing points, hanging heights, spacing or equipment settings. Ask the relevant provider what can actually be proposed for the measured area and permissions. Do not copy brightness, bulb type, colour temperature, dimming or weather claims from another event’s image.
A hypothetical note could read: “Preference: visible festoon lines in the dining-area photograph from viewpoint V2. Question: which proposed arrangement can be discussed for our actual plan?” That gives the creative team a precise conversation without claiming that the reference scene can be reproduced.
Give the photographer a focused question list
Ask which viewpoints or background details the photographer wants clarified with the installer. Record the reply as that person’s actual input; do not add exposure settings or promise an image outcome. If the dining layout or photo position changes, update the viewpoint reference and ask whether the creative brief needs review.

Issue the brief with the right plan
Keep this sheet beside the current measured plan, agreed scope and permission records. It explains visual priorities; the actual providers still confirm the proposed arrangement. A creative preference does not establish fixing suitability, task or emergency lighting, accessibility provision or the final photographic appearance.
