Check an indoor venue for inflatable hire
An indoor location avoids some of the questions raised by an open outdoor pitch, but it still needs equipment-specific review. Floor area, overhead features, access and the venue’s conditions all belong in the enquiry. Use this guide to prepare a hall brief for Fables rather than assuming a room is suitable because another event has used an inflatable there.
Ask the venue before choosing the equipment
Explain the proposed activity and ask whether the venue permits it in the room you are booking. Request any conditions or information it needs from the supplier. Give Fables those questions early enough to discuss the particular unit being proposed.
Keep the venue’s answer attached to the room brief. Permission for an activity does not by itself confirm the dimensions or requirements of the selected equipment. Both the venue arrangement and the supplier’s proposed setup need to be understood before booking.
Measure usable space rather than the room outline
Obtain the usable length and width, identifying fixed furniture, stages, pillars and areas that cannot be allocated. Show the inflatable position alongside other activities planned for the room. Keep guest entrances and the venue’s required routes visible on the drawing.
Ask the supplier to confirm the complete space requirement for the offered unit. Do not use a room’s general event capacity as an inflatable suitability measure. The actual equipment and operating area need to be checked against the planned arrangement.
Record the lowest relevant overhead feature
Send the available ceiling height and identify lights, beams or other features lower than the main ceiling. Photographs can clarify a sloping or irregular roof. Ask what further measurements the supplier needs for the proposed position.
Avoid measuring only a convenient point in the middle of the room if the equipment would sit elsewhere. Keep the relevant vertical details on the same plan as the floor layout. An apparent fit on a floor drawing should not end the height discussion.
Check the delivery route through the building
Start at the unloading point and describe the route to the hall. Include entrances, narrow turns, stairs, lifts and any restrictions on moving equipment through shared spaces. Ask the venue which entrance suppliers should use and when it is available.
Send photographs of awkward points and ask the supplier to review the actual route. Do not assume that a wide guest entrance answers the delivery question. The agreed equipment must be able to reach the accepted position under the venue’s arrangements.
Connect power and supervision with the room plan
Tell Fables where available power is located and ask for the requirements of the selected inflatable. Coordinate any agreed arrangements with the venue and relevant supplier. A socket in the room does not automatically settle connections, distribution or suitability.
Ask what supervision is required and who provides it. Include the responsible person in the event brief and confirm how instructions are handed over. Positioning the activity indoors should not leave operation or supervision as an unstated assumption.
Agree installation and departure times
Compare the hall hire window with delivery, setup, guest use, take-down and collection. Ask for the proposed schedule and identify when the room must be available. If other suppliers are preparing the same space, coordinate their work.
Name the contact who admits the team and can confirm the accepted plan. Review the arrangements if the venue changes room allocation or access times. Keep the latest booking information with the event lead so the indoor plan remains consistent from enquiry through collection.
Questions to settle before booking
The hall has hosted an inflatable before; is that enough?
Ask the venue about your proposed activity and share the actual room details with Fables. A previous event does not confirm the requirements of the selected equipment, layout, access route or booking conditions.
Which height should we provide in an irregular room?
Explain the room shape and identify the relevant ceiling, beam and lighting heights for the proposed position. Send photographs and ask the supplier which further measurements it needs to review the chosen unit.
