Collect a live performer brief for PA hire

A live performer should describe the sound arrangement they need in their own terms. An organiser can bring those requirements together without trying to translate them into an equipment specification. Request the performer's current information for this event, identify what they supply and ask Fables to confirm the proposed PA and assistance against the remaining requirement. A previous booking or promotional photograph does not settle the current setup.

Request the performer's current brief

Obtain the performer’s current equipment/input requirements in their own terms. Ask for the version relevant to the performers attending your event. A solo appearance and a larger group may have different requirements even when booked under the same name. Keep the performer's contact beside the document so technical questions reach the right person.

Separate supplied items from requests

Separate what the performer brings from PA equipment still requested. Mark an item as supplied only after the responsible provider confirms it. Distinguish equipment that is part of the performance booking from equipment still being discussed. This prevents two suppliers pricing the same function while another requirement is overlooked.

Describe the performance arrangement

Record simultaneous sources, performance position and timing for supplier review. Include the intended performance position and any speaking or playback moments surrounding it. Explain whether other equipment remains in use at the same time. Leave the supplier to confirm suitable equipment and connections for the actual combination being proposed.

Coordinate access and the check

Coordinate setup, access, power and an agreed check with the performer and venue. Share the performer's arrival requirements with the venue as well as Fables. Identify when the performance area becomes available and who can admit the team. If a check overlaps with other preparation, ask the affected people to agree a workable timetable.

Confirm the division of responsibility

Prepare a responsibility list that requires Fables to confirm suitability instead of assuming compatibility. Write down who supplies, connects and operates the agreed arrangement, and who approves changes. Keep any extra assistance clearly described in the quotation. The handover should remain understandable to the person managing the event even if they did not organise the entertainment booking.

Questions about this worksheet

Does hiring a PA confirm it suits our performer?

Send the performer's current requirements and ask Fables to confirm the proposed arrangement. The published PA range does not specify every equipment quantity or connection, so suitability for the actual performance needs an explicit answer.

Who should answer technical questions about the act?

Name the performer's responsible contact and share their current brief with the relevant suppliers. The organiser can track decisions and timing while equipment-specific questions are resolved by the people supplying and using it.
