Prepare playback devices for your PA hire enquiry

Music or recorded speech adds a playback task to your PA plan. The important starting point is the device and content you actually intend to use. Tell Fables who owns them, where playback happens and who gives the cue. Confirm the connection and testing arrangements for the proposed system before treating a playlist or a file link as a finished sound plan.

Identify the actual device and content

Identify the actual playback device and the type of content to be used. Separate background music from a track used for an entrance or a recording played during a speech. Name the person bringing the device and describe where it will be used. If that device changes, send the updated information to the supplier.

Confirm the connection arrangement

Ask the supplier to confirm compatible connections for the quoted system; do not prescribe unverified adapters. A familiar-looking socket or an adapter from another event is not confirmation that the complete setup will work. Ask which connection and cables are included for this booking, and identify any item that another provider is expected to bring.

Give someone ownership of playback

Record who supplies the device, content and any required account/access arrangements. The organiser may choose the music while someone else supplies a device and the operator starts playback. Name all three roles where they differ. Resolve access to the intended content with its owner before the agreed check, including any permissions needed to use it.

Test the intended material

Plan an agreed test using the intended device and a representative file or track. Use content that represents what will be played, including any spoken audio or video soundtrack. Agree who receives it, who checks it and how revisions are communicated. Ask the supplier whether a changed device or file calls for another check.

Prepare a short cue list

Create a connection/questions sheet and cue list, with a separate confirmed alternative only if agreed. Write the cue in terms the agreed operator can follow: programme moment, content name and person authorising the start. Identify pauses or stops that matter to the occasion. Keep any alternative arrangement separate and confirmed rather than silently substituting another device.

Playback device and test handoff sheet
Record Detail to agree
Playback moment Programme entry and intended location
Device owner Person supplying and bringing the actual device
Content version Recognisable track or filename and approved version
Connection question Supplier-confirmed input, cables and remaining gap
Cue and test Named operator, cue caller and check opportunity

Questions about this worksheet

Can we assume a phone will connect to the PA?

Give Fables the actual device information and ask for confirmation of the proposed connection and any supplied cables. Confirm access to the intended content and an agreed check; this guide does not establish compatibility for an unspecified device.

What happens if our playback device changes?

Tell the supplier and agreed operator which device has replaced it. Ask whether connections, supplied items or testing arrangements need to change, then update the brief so the previous device is clearly superseded.
