Bring venue sound restrictions into a PA brief

Venue requirements belong in the PA brief before the event programme is treated as settled. Ask the venue for the conditions applying to your booking and share them with Fables and any performers or DJ involved. A concise constraint register helps everyone see which location or programme period a requirement affects. Keep the venue's own wording and named contact available for clarification.

Obtain the venue's current requirements

Ask the venue to provide its own current sound and finish-time requirements. Request the information for the event spaces and times you intend to use. A general brochure may leave booking-specific conditions unanswered. Distinguish a written venue requirement from an organiser's recollection, and ask the venue to resolve any unclear or conflicting wording.

Relate conditions to programme entries

Map those requirements to speech, music and performance locations and times. Mark the affected speeches, background music and performances separately. A finish time for one activity may need different handling from a restriction on a proposed position. Record the actual requirement without deriving a universal sound limit from another venue's arrangements.

Identify permitted locations and contacts

Record existing venue systems, permitted positions and who liaises with venue staff. Show the proposed sound positions on the current plan and ask the venue which are permitted. Name the person responsible for liaising with venue staff during the event. Give the operator that contact route so questions do not depend on locating the original person who requested the quote.

Ask providers to review the proposal

Ask Fables and performers to confirm the proposed arrangement against those supplied requirements. Send the conditions with the programme and equipment brief. Ask each relevant provider to confirm the proposed arrangement against them and identify outstanding questions. Keep a requested change provisional until it has been reviewed by the people responsible for the venue and equipment.

Keep a clear constraint register

Create a venue-constraint register without inventing universal noise limits or monitoring capability. For every condition, record its source, affected activity, responsible contact and current decision. When the programme or location changes, revisit the entries that depend on it. This keeps a later updated timetable connected to the requirements supplied at the quotation stage.

Questions about this worksheet

Does this guide set a standard sound limit?

No. Obtain the actual conditions applying to your venue and booking, then ask the relevant providers to review the proposed arrangement. This worksheet records those requirements and responsibilities; it does not interpret or replace them.

What if the venue updates its requirements?

Identify which programme entries and equipment positions are affected, send the revised information to the responsible providers and operator, and obtain confirmation of the resulting plan. Keep the earlier version clearly superseded so it is not circulated as current.
