Smoke machine hire

Compare the written scope of smoke-effect hire quotes

Use one event request to compare the commercial scope of proposed smoke-effect hire. Keep the venue’s actual decision beside that request. This worksheet records what an offer says and what still needs an answer; a completed comparison does not give permission to use an effect.

Identify the same request in every offer

Record the proposed event moment, location and current request version. Reference the actual venue decision and any supplier or performer correspondence that applies. If an offer refers to another location, moment or earlier request, show that difference. Ask the relevant provider which proposal its price covers instead of assuming the descriptions are equivalent.

Compare written scope line by line

Copy the description offered for this booking without adding a machine type, fluid, coverage or duration from elsewhere. An unanswered entry stays unanswered. Separate an expressly included service from a requested option, and keep the price in the terms in which it is written.

Ask a question about each actual gap

A hypothetical comparison might show assistance expressly described in one offer and left unmentioned in another. Ask the second provider what is included for the same requested moment and dates. Do not infer a staffed arrangement, consumable allowance, support response or permission from the price or heading.

Useful clarification wording is: “For [request version, location and dates], please confirm the scope of [unanswered item], whether it is included, optional or excluded, and which outstanding decisions the quotation depends on.” Replace the bracketed details and retain the reply with its offer.

Retain the accepted offer with its dependencies

Keep the accepted quotation and answers beside the matching venue decision and current cue plan. If a location or requested moment changes, ask which documents and offer need review. Commercial comparison and venue/supplier review remain separate jobs. This sheet does not assess technical suitability or create a permission, safety or ready-to-use outcome.
