Plan tableware delivery, storage and collection
Crockery and glassware pass through several hands before and after a celebration. A delivery plan therefore needs to name the receiving person, storage location and collection contact as well as the venue address. Use this guide when the event organiser, venue and clearing team will not all be present at the same time.
Identify the actual receiving point
Ask the venue where suppliers should unload and which entrance leads to the agreed storage area. Explain steps, lifts, narrow routes and distances from vehicle access. A guest entrance may be unsuitable for a delivery even when it appears to be the most direct route on a map.
Provide photographs where the route is difficult to describe. Tell Fables if deliveries must use an appointment window or share access with other suppliers. Confirm the receiving point before writing the arrival instructions rather than letting different people select different entrances.
Name someone who can receive the hire
Choose a contact who will be on site and knows where the items should go. Give that person the accepted hire list and arrival arrangements. If a venue employee receives equipment on your behalf, check that they have agreed to do so and can identify the booking.
Record what happens if the main contact is delayed. A backup contact should have the same information, including any limit on where packed items may be placed. Do not rely on a general event telephone number that nobody is responsible for answering during setup.
Reserve a suitable storage location
Discuss the packed items with the supplier and ask what storage arrangements are needed. Tell the venue how long the space must remain available, from delivery through table laying. The practical route between storage and dining should be part of the room preparation plan.
Avoid choosing a location already allocated to food preparation, guest belongings or another supplier without agreement. Keep venue access and working routes clear. If the proposed storage area changes, tell the person receiving the delivery before the team arrives.
Set the unpacking and distribution handover
Confirm who unpacks items and takes them to the tables or service areas. Ask how packaging should be retained for collection and where it can be kept. The people laying the tables need to know which pieces serve guests and which are reserved for the caterer or bar.
If equipment is distributed across several rooms, keep a simple location list. This can save the clearing team searching for hire items after the event. Make sure personal decorations and venue pieces remain distinguishable from hired crockery and glassware.
Prepare the post-event collection position
Agree where used items should be left and how they should be packed or grouped. No washing up is needed with Fables’ tableware hire, but the collection instructions and clearing responsibilities still need confirmation. Pass those instructions to the actual team handling used items.
Check that the proposed collection position is available after the room is cleared or locked. If the venue needs the dining space immediately for another booking, resolve the storage and access arrangement in advance. Collection cannot depend on a room that nobody can open.
Close the plan with timings and contacts
Keep delivery and collection windows, access instructions and named contacts in one short handover document. Give the same version to Fables and the venue. Identify any setup or clearing service separately from transport so the expected work is clear.
When timings change, update both ends of the hire. An earlier venue departure may affect storage and collection even when delivery stays unchanged. Ask for the revised arrangement to be confirmed, and make sure an available person can complete the final handover.
