Fables catering planning

Keep wake catering numbers clear while plans develop

It may be difficult to know the final attendance when you first enquire about food for a wake or memorial reception. Give the best current estimate and explain what remains uncertain. A clear service-specific count, maintained by one organiser, is more useful than several different totals passed between family members and suppliers without context.

Count the gathering being catered

Identify the people expected at the food service, rather than assuming every person attending another part of the day will also join the reception. Say if guests may arrive later or leave before food. An estimate is acceptable as a starting enquiry detail; label it as an estimate and ask how the actual catering quantity should be agreed.

Explain uncertainty without personal lists

Describe the attendance question in general terms, such as an estimated number still to be confirmed. Fables does not need a list of guests or their personal histories to discuss food quantities. Keep the enquiry focused on the group, venue, food role and timing. Choose one organiser to hold any private attendance information separately from the catering brief.

Connect numbers with the food format

A buffet, afternoon tea, grazing arrangement and canapé reception create different serving discussions. Identify the food starting point you are considering and whether it is intended as a meal or lighter refreshments. Ask for the actual menu and quantity to be proposed for the group. Do not calculate food provision from a photograph or assume one format establishes a fixed portion rule.

Give different groups their own context

If some guests join only later or a separate group needs food at another time, explain that before the arrangement is agreed. Keep each service count and intended time visible. Do not assume an uncertain later group is automatically included in an earlier catering quantity. Ask Fables which arrangement can be proposed for the actual programme and attendance pattern.

Keep one person responsible for updates

Choose a booking contact who can collect changes and send the current information to Fables. Date the count and say which group changed. If the venue, food choice or intended time changes too, send those connected details together. This avoids a supplier receiving a revised number without knowing it belongs to a different room or food service.

Confirm amendments rather than assuming them

Ask how and when numbers should be finalised for the particular booking and current terms. A request or a conversation between organisers does not itself confirm an amendment. Keep the accepted quantity, food choices and service arrangements with the quotation. Give the event contact that agreed version so the person receiving the team is not relying on an earlier estimate.

Bring the details together

Send your current guest estimate with the date, postcode, food starting point and intended serving time. Identify the uncertain groups and name one contact for changes. Ask Fables how final quantities and any requested amendments should be recorded for the booking.
