Prepare a Wedding Cake Delivery and Venue Handover
Fables' published wedding cake offer includes delivery, setup and styling. The practical details still need to match the venue, the chosen cake and the programme agreed for your booking.
A short handover plan helps the receiving team know where the cake is going, who can answer a question and which instructions must reach the people responsible for later service.
State venue entrance and access window
Give the full venue address and identify the entrance agreed for delivery. Ask the venue which access window is available and explain any other suppliers using the same entrance at that time.
Match this information to the arrangement confirmed with Fables. A venue's requested time and the accepted delivery schedule should not remain as two different entries on separate documents. If the access window changes, ask for the affected arrangements to be reviewed.
Describe steps or long routes
Describe known steps, narrow doors, lifts or longer routes to the proposed display position. Photographs and a labelled plan can help explain the route, but leave the assessment of the actual handling arrangement to the relevant provider.
Do not assume a general postcode or the guest entrance tells the delivery team everything needed. Ask the venue to confirm the practical route and identify any controlled door or access contact.
Make the agreed display position ready
Confirm who supplies the table, cloth, stand and other agreed display elements. Ask the venue when those items and the surrounding space will be ready for the accepted setup arrangement.
Keep the baker's actual display and handling instructions with that plan. This page does not give a universal storage temperature, waiting allowance or support specification. The receiving team needs guidance for the chosen cake rather than instructions borrowed from another design.
Name the receiving contact
Nominate someone who expects to be at the venue during the agreed handover. Make sure they know the accepted display position and how to contact the relevant organiser if a practical question arises.
Give them the current plan and necessary instructions without including unrelated guest information. If the original contact will be occupied elsewhere, agree a replacement before the day so the delivery does not depend on finding the couple.
Keep display and service instructions together
Pass on the accepted photograph, cutting and serving arrangements to the people responsible for them. Setup and styling do not, by themselves, identify who portions the cake or provides every item needed for service.
Keep those responsibilities with the cake booking details and the venue's catering timetable. Raise any later change to location or timing through the agreed Fables contact before treating it as confirmed.
Your finished planning sheet
- Venue address, named entrance and accepted delivery window.
- Known route restrictions supplied for provider review.
- The confirmed display position ready for setup.
- A receiving contact with the current plan.
- Actual cake instructions handed to the later service contact.
Questions to settle
Does setup identify who cuts and serves the portions?
Confirm that division of tasks separately. The published delivery, setup and styling offer should not be expanded into assumed portioning or serving responsibilities.
