Fables event planning · Back to wedding and event car hire
Work Backwards from Your Wedding Arrival Time
A reliable wedding transport discussion starts with the arrival you need, then works backwards through the people and places involved. It should distinguish fixed venue requirements from estimates that still need review.
Fables can discuss the proposed journey and hire arrangement against that information. This guide does not promise a travel time or set a universal allowance.
Confirm the venue arrival target
Ask the ceremony or event venue when the travelling group needs to arrive and where it should enter. Check whether the stated time means reaching the grounds, arriving at a particular door or being ready inside.
Record the source of the target and identify it clearly on the plan. A ceremony start time alone may not explain the venue's arrival arrangements. If the requirement changes, pass the new information to Fables and the people preparing the passengers.
Identify passenger-ready time
Discuss when the passenger group can realistically be ready at the agreed pickup point. Preparation, photographs and gathering belongings all belong in that conversation. Keep this as a planning question until the accepted collection time is confirmed.
Name someone who can coordinate readiness while the principal guests are occupied. Give that person the final passenger group and pickup instructions so a timing question does not have to pass through several people.
Discuss the journey allowance
Provide the full route and any known restrictions, then ask the proposed provider to discuss the journey allowance. Include relevant venue information and any requested stops rather than using a map estimate as the complete itinerary.
Keep the departure and arrival times connected to the same version of the route. If you add a stop or change the preparation address, the timing needs review too. No particular traffic condition or journey duration is guaranteed here.
Include entrance and unloading time
Confirm the actual entrance, approach and passenger drop-off arrangements with the venue and provider. A large site may have a separate arrival point or controlled access that a postcode does not explain.
Discuss any particular passenger access requirement before booking. The time shown beside the venue should refer to the agreed practical arrangement, not simply the point at which a vehicle reaches the general address.
Share one agreed timing with suppliers
Share the accepted arrival schedule with the preparation contact, venue coordinator and relevant event suppliers. Your reception venue and catering team need the confirmed timing that affects their part of the day.
Keep one dated itinerary and identify the contact route for changes. An earlier message, a photographer's draft and a transport proposal should not remain as three competing schedules once the arrangements are accepted.

- One accepted schedule and a clear change-contact route.
Questions to settle
Can we use a map estimate as the confirmed schedule?
Use it as an input to the discussion. Ask the actual provider to confirm the proposed timing against the full journey and venue arrangements.
