Make a Wedding Car Contact and Journey Sheet

The best transport contact sheet helps the right person answer a practical question without distracting guests who are preparing, travelling or being photographed. It combines accepted journey details with a clear coordination route.

Use it as a summary of confirmed arrangements. Keep personal information limited to what the people carrying out the plan actually need.

Nominate a reachable preparation contact

Choose a preparation contact who expects to be reachable near pickup time. Explain their role: helping the group be ready, knowing the agreed pickup point and answering an access question if one arises.

Make sure the role is accepted rather than simply writing someone's name on a sheet. If that person is also travelling or has another time-critical task, discuss an alternative contact and keep the final choice clear.

Record the agreed chauffeur arrangement

Record the chauffeur or other transport arrangement exactly as Fables confirms it. Ask what contact route should be used before the day and during the agreed hire, and distinguish that from the general venue contact.

Do not publish a driver's personal details or create an assumed direct-contact arrangement. Share only the information the provider authorises for the relevant people, through the appropriate private planning channel.

Use confirmed addresses and timings

Put each accepted journey on the sheet with its pickup, destination, passenger group and timing. Add the named entrance and the current access instructions where those details matter.

Use the final written proposal as the reference. If a photographer's draft contains a different stop or an early plan has another address, resolve the difference before issuing the sheet. An attractive layout does not make conflicting details correct.

Add the change contact route

Name the person who receives a proposed event-day change and explain which supplier contact route they should use. A new passenger, address or stop may affect the accepted arrangement and needs the relevant provider's response.

Keep instructions practical and limited. The sheet should help a coordinator raise a question; it should not tell guests to make unconfirmed changes or promise that a requested extension will be available.

Keep one dated final version

Add a version date and give the current sheet to the people who need it. Tell recipients when it replaces an earlier version. Store the confirmed proposal with the organiser's copy so questions can be checked against the booking.

Include only the relevant arrival information in the wider event timetable. Suppliers do not all need the full passenger or private contact list to coordinate their part of the celebration.

Your finished planning sheet

  • A preparation coordinator who has accepted the role.
  • The transport contact route authorised by the provider.
  • Confirmed journeys, passenger groups and named entrances.
  • A clear route for raising changes or uncertainties.
  • A dated sheet shared only with relevant recipients.

Questions to settle

Should every supplier receive the complete transport contact list?

No. Share the practical information each supplier needs, keeping passenger and personal contact details limited to appropriate recipients.
