Planning food for a wedding morning

Wedding mornings often involve several groups moving between different places. Breakfast needs a clear place in that timetable so the people getting ready can eat without another task being left to someone unexpectedly. Start with the people and departures, then discuss the food and serving arrangement that fit those plans.

Map the getting-ready groups

List the groups who will actually eat: for example, the people preparing in one house, family at another venue and anyone joining later. You do not need to send guests’ names or private appointment details. A group label, location, approximate number and eating window are more useful. Keep these breakfast numbers separate from the wedding reception total. If suppliers are to be included, make that an explicit part of the food count rather than assuming they are covered by another group’s portions.

Work backwards from departures

Write down when each group needs to leave, then discuss when food must be available and when the eating area needs clearing. Hair, dressing, photographs and travel can make a general instruction such as breakfast in the morning too vague. Identify which parts of the schedule are fixed and which can move. Ask Fables to confirm a serving window that can be accommodated. Do not rely on food being held for an undefined period for someone whose arrival time has not been agreed.

Choose food people can eat in the available space

Explain whether guests have a dining table, occasional seating or only a small preparation room. Grazing foods, a cereal arrangement, pancakes and a full English create different plate, bowl, cutlery and eating-space questions. Choose from the actual published breakfast options, then confirm the agreed selection. Avoid arranging food around a photograph while overlooking where filled plates will go. Keep clothing preparation, personal belongings and the catering working area in mind when deciding which room is most practical.

Give deliveries and setup a clear route

Tell us the address, unloading point and route to the serving area. Mention steps, door restrictions, lifts and the period when access is available. A getting-ready location may also have photographers, stylists or transport arriving, so name one organiser who can coordinate access. Ask what preparation and supplies the chosen food service requires. A domestic kitchen visible in venue photographs does not confirm that it is available or suitable for the proposed booking; agree the actual arrangement before the day.

Decide who looks after drinks and clearing

State whether Fables, the venue or your group will provide drinks, cups, plates and cutlery. The listed juice bar is a separate option to discuss, not an automatic part of every breakfast. Agree who sets things out, helps with service where required and clears used items. The people getting dressed may not be available for those jobs immediately before departure. Include the handover at the end so food equipment and used tableware are not left in a room needed for another purpose.

Keep the final brief simple and current

Give the same dated plan to the person ordering and the person receiving the catering. It should show the chosen menu, locations, breakfast numbers, agreed food requirements, access and eating windows. Discuss any intolerance before booking and wait for express confirmation; Fables does not cater for food allergies. Record only the confirmed requirement and portion count, without medical histories. If a group moves venue or leaves earlier, tell Fables promptly so the breakfast arrangement can be reviewed against the revised timetable.

A wedding-morning breakfast brief

  • Group labels, numbers and eating locations
  • Departure times and agreed serving windows
  • Chosen breakfast selection and drinks
  • Tables, seating, crockery and clearing tasks
  • Unloading route and named receiving contact
  • One dated plan shared with the people involved

Use breakfast as a planned part of the wedding morning rather than an extra job squeezed between other suppliers. Send the timings and locations with your menu enquiry.
