Fables event planning · Back to audio guestbook hire
Choose a Location for an Audio Guestbook
The best starting position is a place people can find and feel comfortable pausing. A guestbook hidden in an unused corner may be overlooked, while a phone beside the loudest speaker may compete with the party. Consider visibility and the surrounding activity together.
Make a short list of possible places, then ask Fables and the venue to review the actual setup. The phone’s selected operating needs and any table arrangement must be confirmed for the booking.
Walk the route a guest will take
Start at the reception entrance and imagine the route to drinks, seating and entertainment. Note where a guest might naturally pause without blocking someone else. The phone does not need to be in the middle of that route to be visible from it.
Photograph each candidate position with the surrounding room in view. Mark nearby doors, queues and service points. A table that looks quiet in an empty room may sit beside a busy bar or a doorway throughout the event.
Compare the surrounding sound and activity
Put the DJ or band, loudspeakers and active entertainment on your plan. Describe the time the phone will be used as well as its location. A room may be calm during the meal and much louder later; tell Fables which period matters to your plan.
Ask the venue about nearby activities you may not see on a short visit. Do not promise a particular recording result based on distance alone. The useful step is to make the proposed sound environment clear and discuss a position away from the most obvious competing noise.
Check practical access and setup
Ask what table or surface arrangement, operating requirements and access the selected guestbook needs. Describe any particular guest access needs you want discussed, including use from a seated position. The venue should review the approach and the space for someone to pause there.
Keep the agreed position from becoming a drinks or plate collection point. If signs or decorations are nearby, ensure the actual guest instructions remain visible. Use the current audio guestbook planning article to connect location with the introduction guests will hear.
Your finished planning sheet
- Two or three labelled candidate photographs showing the surrounding area.
- The expected activity and nearby sound sources during the guestbook’s use.
- Table, operating and particular access questions for Fables and the venue.
- The accepted position shown on the current room plan.
Questions to settle
Should the phone be completely separate from the reception?
Consider whether guests would notice and use it. Aim to discuss a visible place with less competing activity, rather than assuming isolation or central placement is always better.
Can we change rooms later?
Raise any intended move before booking and confirm whether it can be accepted, who carries it out and how the new position will be set up.
