Plan an Audio Guestbook Guests Will Use

An audio guestbook is easy to understand once someone points it out. The useful planning work is choosing its place, giving guests a simple reason to pick up the phone and agreeing what happens to the recordings after the celebration.

Make the phone easy to notice

A vintage-style phone can be a talking point, but guests may still need an invitation to use it. Mention the guestbook when there is time for people to leave messages, and place a short instruction beside it. Tell guests that they are recording a message for the hosts.

Keep the prompt friendly: share a favourite memory, a wish for the future or a quick hello. Nobody needs a prepared speech. If an announcement is planned, give the host a short explanation so the instructions are consistent.

Give the message a quieter setting

Choose a visible spot away from loud speakers and the busiest doorway. A guest should be able to stop for a moment without blocking people heading to dinner, the dance floor or the toilets.

Share the proposed position with the venue and Fables. Confirm the table or stand and the setup requirements for the particular phone. Its vintage appearance does not tell you what connections or support the agreed setup needs.

Connect the activity to the timetable

Ask when the phone can be ready and when it will be collected. If the room changes during the day, confirm whether the phone remains in one place or whether a move can be agreed. Avoid relying on a guest to relocate hired equipment without a plan.

Where a photobooth is also booked, give the activities enough room to work independently. Guests may enjoy both spoken memories and photographs, but they should not need to wait in one crowded corner for every activity.

Confirm how the messages reach you

Fables' current offer describes professional editing and a keepsake-format delivery. Ask which format is proposed, how it will be delivered and the expected timing. A physical phone at the event does not establish a particular digital file type or keepsake afterwards.

Keep the agreed delivery details with your booking contact. That gives you a clear expectation after the event and a straightforward starting point if you have a question about the recordings.
