Fables event planning · Back to audio guestbook hire
Put an Audio Guestbook into Your Reception Timetable
A guestbook can be available without becoming a scheduled performance. Give it a clear operating window and a few natural invitations, while leaving guests free to choose their moment. The timetable’s job is to connect setup, use and collection with the rest of the reception.
Start with the hours and locations you already know, then ask Fables which arrangement can be accepted for the selected phone.
Identify when guests have an unhurried moment
Mark arrival, food service, speeches, photographs and entertainment on the running order. Look for pauses when guests are not being called to another activity. Explain which periods suit your guestbook plan, including an earlier opportunity for anyone leaving before the evening.
Ask the announcer or host which existing moment could include a short introduction. A gentle reminder can happen later if useful, but repeated announcements may interrupt the celebration. Record the person responsible so several people do not make the same request independently.
Keep setup and the guest-ready time separate
Give Fables the venue access window and when the phone must be ready. Explain whether the room is being dressed, used for a ceremony or occupied by another event beforehand. Confirm the proposed table, position and operating needs before treating the guest-ready time as agreed.
If the reception changes rooms, discuss whether the phone should remain in one place. Any planned move needs confirmation about suitability, responsibility and timing. Do not make relocation an informal task for a guest just because the next activity is in a different room.
Write the closing and collection handover
Confirm when the phone will stop being available and how collection works. Tell the venue who can provide access and what happens if guests or other suppliers are still using the area. Keep the actual contact details with the final running order.
Record questions about the finished recordings separately from the event’s collection time. The physical handover and delivery of the keepsake are different parts of the service. The wedding details planning guide helps you connect both with the wider event record.
Your finished planning sheet
- The phone’s agreed setup, ready, available-use and collection times.
- A natural introduction and any wanted reminder, with a named speaker.
- Earlier or quieter opportunities suited to your actual guests.
- Accepted position, move arrangements if any, and the collection contact.
Questions to settle
Should the guestbook have a formal time slot?
You can plan an introduction without requiring everyone to record at once. Consider the reception flow and ask Fables about the available-use arrangement that can be confirmed.
What if our reception timings change?
Send the revised running order promptly and ask for confirmation where setup, position, use or collection is affected. Updating your own schedule does not automatically change the hire arrangement.
