Preparing chair hire delivery, setup and collection
A chair delivery is easier to plan when the address, vehicle stopping point and final seating area are treated as different details. Add the venue access times and the setup work you need, then ask Fables to confirm the arrangements in the quote. Delivery, setup and collection are described as options, so their scope should be explicit.
Map the route beyond the venue address
Identify the entrance suppliers should use and the place a delivery vehicle can stop. Describe the route from there to each seating area, including gates, steps, lifts or distance across the site. Ask the venue whether that route changes during the day. A postal address is a useful starting point, but it does not show the practical handling arrangements needed to get chairs into position.
Obtain actual supplier access times
Ask when the venue becomes available and when furniture needs to be ready. Separate those times from the guest invitation time. Include any restrictions caused by another event, room preparation or vehicle access rules. Share the proposed delivery period with the person controlling entry and tell Fables about uncertainties before the schedule is confirmed, rather than assuming an empty-looking room is available to suppliers.
Define what setup means for your booking
Explain whether you want chairs delivered to a handover point or positioned according to a plan. Ask the quotation to state the work included. Table dressing, chair decoration and moving furniture later in the event should be discussed separately. If a venue team is handling setup, give it the same confirmed chair list and layout so the division of work is clear.
Provide a plan and an authorised contact
Send a dated seating drawing that names each location and shows the agreed quantity. Identify who can meet the team, admit suppliers and resolve a practical question if the room differs from the plan. Give that person the current booking information. Where several organisers are involved, nominate one route for approving changes so contradictory instructions are not given during delivery.
Coordinate shared routes with other suppliers
Ask whether catering, marquees, florists or entertainment suppliers need the same unloading or internal route. Agree an order with the venue when work cannot happen together. Keep the chair route clear of personal belongings and items waiting to be placed. If another supplier needs chairs moved after they are set out, resolve who handles that move and whether the furniture setup plan needs revising.
Plan collection before the event starts
Agree the collection period, vehicle access, contact and location where chairs should be ready. Ask what the venue needs cleared first and who removes decoration or other items from the chairs. Tell Fables if furniture is spread between several rooms or outdoor areas. Collection should be part of the accepted timetable rather than an assumption left for whoever remains at the venue after guests leave.
Details to gather before enquiring
Prepare the following for the discussion: Supplier entrance and unloading point; Route details, steps, lifts and distance; Venue access and ready-by times; Setup scope and latest seating plan; Collection window, location and contact.
Questions to settle before booking
Does delivery include putting every chair in place?
Ask the quote to confirm that explicitly. Describe the setup you need and provide the accepted layout. A delivery handover and a complete seating setup are different practical tasks; the agreed booking should make clear which work Fables, the venue or your own team performs.
Who should meet the delivery team?
Choose someone with access to the venue and the current furniture plan who can resolve a practical question. Make sure the venue knows that person is the contact and that they have the confirmed booking details. Arrange a collection contact too if the same person will not remain available.
