Plan the furniture around the way your event works
A useful furniture plan begins with what happens in each space. List the ceremony, meal, reception and other guest areas before settling chair and table quantities.
Ideas for your event.
Count spaces and uses separately
Write down the guests seated for each part of the day, then list dining tables and separate tables for buffet service, drinks, cake or gifts. If furniture will move between spaces, record both layouts and the time available for the change.
The published Fables 6 ft round table seats 8–10, but place settings, shared dishes and room circulation still need to be discussed. Match the chair count with the agreed table arrangement rather than choosing tables from attendance alone.
Put the real room or marquee on the drawing
Add dimensions, entrances, fixed furniture and service areas. Allow for guests pulling out chairs and for staff moving around the tables. Mark any dance floor, LED letters, performance or catering area that shares the room.
If you need outdoor carpet, show the exact area and measurements, its surface and any changes of level. Share access and the order in which the structure, carpet and furniture will be installed.
Plan the tabletop with the menu
Count plates, cutlery, glasses and serving pieces for each course or service. Include shared platters, centrepieces and afternoon-tea pieces where relevant, and describe classic white or vintage styling.
Keep this item list with the confirmed guest numbers. Tableware is delivered clean and packed, and no washing up is needed, but return preparation and any guest-table clearing should be agreed before the event.
Confirm who moves, sets up and hands over
Agree delivery or collection arrangements, unloading access, setup times and a venue contact. If chairs or tables are reused later, name who will move them and when the first room must be clear.
Use one confirmed list of styles, quantities and services for the quote and final plan. Tell Fables about later changes so availability and the revised arrangements can be checked.
Questions before you book.
Can we reuse ceremony chairs for dining?
Explain both layouts, the movement required and the available time. Agree who will move and position the chairs, with the venue and suppliers working from the same timetable.
Do table numbers alone tell us the furniture requirement?
List every use, including dining, food service, cake, drinks and gifts, then match the seating and tabletop requirements to the final layout.
