Christmas party tables, staff and clearing

A party plan needs to explain who supplies the setting and who looks after it through the event. Tables, tableware, guest service and clearing are connected tasks with different responsibilities. Use a simple task list to discuss the complete Christmas arrangement and identify anything not yet included in the quotation.

Begin with the food and guest experience

Explain whether guests will sit for a meal, mingle or attend a service during a fixed workplace break. The food format and programme help identify the equipment and support that need discussion. Give Fables the intended guest count and menu ideas before deciding that a particular furniture or staffing arrangement is sufficient.

If the room changes from dining to entertainment, include that in the brief. Ask which tables, service positions or other items need to move and who would handle that work. A transition between programme items should not leave a collection of practical jobs with no provider assigned to them.

List the equipment already provided

Ask the venue what tables, chairs, crockery, cutlery, glasses and serving pieces it actually supplies for your event. Record the relevant quantities and arrangements it confirms, and identify which items belong to another provider. This avoids assuming a room booking includes every piece needed for the chosen meal.

Share the same list with Fables when discussing additional hire. A description such as tableware included should be clarified against the food and drinks service. Photographs can explain a desired look, but they do not confirm the exact equipment or quantities available for your date.

Describe staff work by time and place

List the preparation, guest service and clearing help you want, with the locations and times for each. Ask for the roles, number of people, duties and working period to be agreed in the quotation. Guest numbers alone do not explain a service pattern or establish a staffing ratio.

Keep work already assigned to the venue, caterer or organiser visible. If another company provides food or drinks, explain the handover it expects. A request for waiting staff does not automatically confirm every food, equipment or venue task, so name the specific jobs rather than relying on a broad phrase.

Follow used items through to collection

Decide who removes used tableware, where it goes and what needs to happen before hired items can be collected. Ask the actual equipment provider how items should be left. Serving, clearing tables, repacking and wider venue cleaning are different jobs and should not silently become one undefined responsibility.

Include the venue’s closing and access arrangements. If the party continues after the booked service team finishes, name the person who receives the handover and takes responsibility for the remaining area. Confirm storage and collection plans instead of assuming the room will remain available indefinitely.

Keep food requirements with the agreed provider

When food is involved, communicate relevant expressly agreed requirements through the catering arrangement. Fables caters for agreed food intolerances only and does not cater for food allergies. Do not ask serving staff to improvise a substitution and then describe it as suitable without the food provider’s confirmation.

Prepare one dated final brief connecting the menu, equipment list, task schedule and provider responsibilities. Keep personal medical histories and unnecessary guest identifiers out of it. If food, timings or the room layout changes, ask the relevant providers to review the connected staffing and equipment plan before treating the change as agreed.

Details to gather before enquiring

  • Menu format and how guests use the room throughout the party
  • Equipment confirmed by the venue and each separate supplier
  • Preparation, service, clearing and handover tasks with working periods
  • Instructions for used items, storage and equipment collection
  • One current list of agreed inclusions and unresolved requests

Questions to settle with your event team

Does catering include tables, glasses and waiting staff?

Read the actual quotation and ask which items and duties are included. Catering, tableware hire, furniture and staffing can be discussed together, but their availability and scope need express confirmation.

Who clears after the staff finish?

Name the person receiving the agreed handover and allocate the remaining work with the venue or organiser. The booked duties and working hours should make the boundary clear before the event.
