Keep a dance-floor delivery and return record
Use this sheet to keep factual observations made at delivery and return with the booking documents. It references the floor actually quoted and the questions raised with the provider. Access planning, installation arrangements and the first-dance programme belong in their existing plans.
Printable worksheet. Use your browser’s Print command to keep a blank copy, then complete the writing spaces with your actual booking references. This page does not collect or send information.
Identify the booked floor without interpreting it
Copy the floor description, quoted size or reference and accepted quotation version. Retain the provider’s original wording where it matters. Record the event position by the name used on the agreed plan. The delivery record should make it possible to connect a later question to the right booking, without turning an observation into a technical inspection.
- Event / floor-position reference
- Accepted quotation and version
- Quoted floor description / style reference
- Quoted size / item reference
- Agreed delivery and collection references
Write specific observations at delivery
Record the date, time and observing role. Use a plain description of what was noticed and where it was noticed, rather than a conclusion about cause, suitability or liability. If you hold a photograph separately, add its reference. Photographs, personal names and signatures are optional; no upload is needed to use the printed record.
| Date / time / role | Item or area reference | Visible observation / photo reference | Question raised |

Retain the provider’s actual response
Give the question an identifier and keep the answer or correspondence reference beside it. Separate an unanswered question from an agreed follow-up. Do not convert a verbal impression into a warranty or an instruction to repair, clean, test or dismantle the floor. Equipment actions and the booking terms remain with the actual provider’s information.
| Question reference | Provider reply / correspondence reference | Agreed next owner / open point |

Make a second record at return
Use the same booking and item references at collection. Record new observations as new notes, with their own time and role. Refer back to an earlier entry where helpful rather than overwriting it. A replacement event contact can then see what was recorded at each stage and which response is still outstanding.
| Date / time / role | Item or area reference | Return observation / photo reference | Reply / unresolved point |

Keep observations separate from commercial decisions
A hypothetical factual note might identify a visible mark at a named edge and reference the message sent to the provider. It would not decide who caused it, whether the floor is suitable, or whether a charge or refund follows. Keep any commercial decision in the actual booking correspondence.
This sheet does not produce a pass/fail inspection, quality certification or acceptance statement. It does not interpret deposit, damage, refund or deemed-acceptance terms. Retain the original notes and replies with the quotation so the people responsible have a traceable record.
