Check which disco lights the DJ and venue already provide
Before hiring additional party lights, find out what the venue and DJ are actually supplying for your event. A brochure package name does not always explain the positions, operating periods or tasks covered. Build an inventory around the functions you want, then ask Fables to review any remaining request. This helps keep the extra hire connected to a clear purpose rather than duplicating equipment already confirmed elsewhere.
Request the booked equipment details
Ask the venue and DJ for the lighting actually included for the booked event. Ask for details of the package booked for this date rather than the provider's full range. Name the person who can answer lighting questions. A promotional photograph can support the conversation, but an explicit equipment and operating description provides a firmer starting point.
Match equipment to its intended area
Record where each item will be used and which intended area remains uncovered. An item listed for the dance area may not be intended for another part of the room or an earlier event period. Record the actual proposed position and timetable beside each entry. Mark uncertain information clearly so a general package statement does not become an assumed commitment.
Compare the remaining request
Compare the desired atmosphere with the confirmed existing setup, without asserting technical compatibility. Describe what you still want the lighting to achieve and where. Share the inventory with Fables before discussing an addition. The relevant providers should confirm any proposed combined arrangement; the organiser does not need to decide that different equipment or controls will work together.
Allocate every additional item
Name the supplier and operator responsible for every proposed additional item. Distinguish who supplies equipment from who operates it. If an extra item is requested from Fables, ask how it fits the agreed delivery, setup and event-time responsibilities. Record any task still awaiting quotation rather than leaving it under the DJ's name by default.
Keep a useful gap register
Produce an equipment ownership/gap table before asking for an additional quote. Keep existing supply, optional ideas and agreed additional hire in separate entries. When a provider changes its package, revisit the affected function and position. Send the updated register to the people reviewing the combination so their discussion uses the same version of the inventory.
| Record | Detail to agree |
|---|---|
| Function or area | Dance floor, nearby seating or another named space |
| Existing supply | Equipment confirmed for this particular booking |
| Provider and operator | Who supplies it and who controls its use |
| Remaining request | Desired result not yet covered by confirmed supply |
| Review status | Provisional idea, quoted addition or agreed arrangement |
Questions about this worksheet
Does a DJ booking automatically include all the lights we need?
Ask what the actual booking includes, where those lights will be used and who operates them. Compare that confirmed scope with your preferences before treating additional areas or effects as covered by the same arrangement.
Can several suppliers' lights simply be combined?
Share the proposed combination with the relevant providers and venue for review. This inventory identifies ownership and gaps; it does not confirm technical compatibility, equipment positions, control arrangements or the assistance included with separate hire.
