Disco lighting hire

Record disco lighting delivery, event and collection handovers

A creative cue sheet explains the lighting moments you want. This record has a different job: it keeps the quoted items, actual handover observations and agreed responsibility changes available to the event contact receiving or returning the hire.

Printable worksheet. Use your browser’s Print command to keep a blank copy, then complete the writing spaces with your actual booking references. This page does not collect or send information.

Prepare the reference sheet before anyone arrives

Use the accepted quotation’s item descriptions and references. Where the venue, DJ and hire provider supply different items, keep their ownership clear. Give the receiving role the latest quotation and agreed handover arrangements. Do not label an unconfirmed responsibility as accepted simply because a box is filled in.

Record what was noted at delivery

Write the time and the role of the person making the note. Describe the item reference actually discussed and any observation or unanswered question. A locally held photograph can be referenced without attaching it to this public worksheet. Copy the provider’s reply or identify where it is retained.

Record the agreed event responsibility change

Use this section only for a handover that is part of the actual booking. Reference who has agreed to operate or coordinate the lighting and the point at which responsibility is passed. Keep the creative cue sequence in its own plan. The handover record identifies the people’s agreed roles and the current document they are using; it supplies no equipment instructions.

Keep collection facts separate from assumptions

Record the actual collection window, access arrangements and receiving role agreed with the venue and provider. Note which quoted items are being discussed and any unresolved observation, with the response reference. Do not assume a return method, packing task or assistance that has not been agreed. Leave equipment procedures to the actual provider’s instructions.

Retain a factual record

Keep the completed sheet with the quotation and handover correspondence. An acknowledgement must be entered by the people involved; it is never generated by the worksheet. The record does not certify condition or suitability, create a supplied-operator promise, or change deposit, refund or damage terms.
