Planning a dry-hire dessert cart handover

Dry hire is a useful starting point when you want to arrange a dessert cart’s contents yourself. It still needs a practical handover: which cart is supplied, who provides the food and equipment, how the station is used and how it is left for collection. Settle those jobs before planning the styling.

Keep the hire and the food supply distinct

The Fables vintage tricycle page lists dry hire separately from stocked and catered dessert choices. Begin by saying that you want to arrange the contents yourself, then confirm the exact cart or tricycle included in the proposal. A photograph does not establish that food, containers, decorations or an attendant are part of every hire. If you are also considering a catered option, compare the two scopes explicitly so the quotation you accept reflects who is supplying and looking after the desserts.

Name the people responsible for the contents

Decide who orders, delivers and sets out the food, and who answers questions about that food during the event. If another supplier is involved, give them the agreed cart arrangement and venue plan. Ask that supplier to confirm its own requirements rather than assuming the equipment is suitable for anything you choose. Keep food responsibilities separate from the cart handover. Hiring a display does not, by itself, transfer another provider’s food or service duties to the cart supplier.

Confirm the equipment and presentation

Ask which surfaces, accessories or other items come with the selected hire, then list anything you need to arrange separately. Plates, containers, napkins, serving pieces and signs should have a named provider. Describe styling ideas as requests and ask what can be attached or positioned on the cart. A venue stylist may need the same instructions. Keep the serving surface and access practical rather than designing a display that leaves no clear place for the agreed food and equipment.

Arrange a clear delivery and setup handover

Give the venue address, unloading position and route to the intended cart location. Mention doorways, steps, changes of surface and access windows. Confirm the selected cart’s dimensions and working-space needs with Fables rather than estimating from a picture. Name the person who will receive it and explain when another supplier can begin setting out the contents. If the room changes use, agree when the cart position becomes available so arrival and setup do not depend on an unconfirmed last-minute move.

Decide who looks after the station

Agree who checks the presentation, manages any replenishment and clears guest items during the intended service. Those tasks may sit with your group, a food supplier or an expressly arranged member of staff. Do not leave them as an assumed venue responsibility. Explain whether the cart is a main dessert point or an occasional treat, because that affects when the responsible person needs to be available. Keep operating and food-handling arrangements with the relevant provider, rather than improvising them from the appearance of the cart.

Prepare the collection handover before the celebration

Ask how the cart should be left and which agreed items must be ready for collection. Assign removal of food, loose styling and guest waste to the appropriate people. Confirm where the cart can remain if the venue closes before the collection window, and who can provide access. Record the agreed arrangement in the booking details without inventing rental conditions or assuming an unlisted inclusion. Give the same instructions to the person receiving the hire and the person overseeing the end of the event.

A dry-hire responsibility list

  • Exact cart or tricycle and hire scope
  • Food supplier and person overseeing the contents
  • Equipment, tableware, accessories and styling
  • Receiving contact, access route and setup window
  • Station care, clearing and waste responsibilities
  • Collection position, access and agreed handover

Send Fables the dry-hire idea, venue details and proposed responsibilities. Ask for the actual hire inclusions and handover arrangements to be confirmed in the written proposal.
