Fables catering planning
Plan grazing alongside another food service
Grazing can be discussed alongside other catering, but each food service needs a clear role. A shared spread before another meal, grazing as the main food and a later additional service are different requests. Explain the complete programme while keeping the menu, count and responsibilities for each part distinct. Ask the quotation to confirm the actual combined arrangement.
Give every food service a purpose
Write down each planned meal or refreshment period and what it is intended to provide. Identify the point at which grazing appears in the day. Tell Fables what food comes before and afterwards, including catering supplied by someone else. The relaxed appearance of grazing does not establish its quantity or its role relative to another booked meal.
Count the groups for each service
Keep a headcount beside each food period. Identify evening-only guests, people leaving earlier and other groups whose meals need discussion. Mark uncertain attendance rather than forcing one total across the entire event. Ask how quantities should be agreed for the actual programme; do not assume later arrivals can be covered by an earlier food allowance or another supplier’s provision.
Connect the times without assuming flexibility
Put the intended food periods beside ceremonies, meetings, entertainment and transport. Explain which commitments are fixed and which may move. Ask providers to review the actual serving arrangements. A gap between services on an organiser’s draft programme is not confirmation of a setup duration, food holding arrangement or extended service window.
Keep equipment and locations clear
Show whether the food services use the same room or different areas. List the equipment supplied by each provider and who positions, clears and returns it. If an item is expected to be available again later, ask the providers how that arrangement will work. Do not assume the same tableware, furniture or staff can be reused without considering the actual sequence.
Give food requirements a consistent contact
Keep food preferences and expressly agreed intolerance arrangements connected to the correct menu and supplier. An accepted arrangement for one service does not automatically establish another provider’s suitability. Fables does not cater for food allergies. Share only the relevant confirmed requirement and portion information, without guest names or medical histories being distributed through the wider event team.
Agree the handovers between providers
Identify who receives each supplier and what happens when one food service finishes before another begins. Name responsibilities for guest areas, used equipment and waste during the transition. Keep one organiser responsible for the current programme. If a count, menu or location changes, ask the affected providers to confirm the revised arrangements before the event team treats them as agreed.
Bring the details together
Send a food-by-time programme, guest counts for each service, provider list and proposed locations. Ask for the grazing selection, quantity, equipment and duties to be confirmed in the context of the other catering. Keep any changes and handovers with the same dated plan.
