Fables catering planning

Agree grazing equipment, service and clearing

Food presentation, equipment supply and guest service are connected decisions with separate responsibilities. Explain what help you want around a grazing arrangement and ask what the quotation includes. A good task list identifies the venue’s work, the organiser’s work and any additional services under discussion, rather than assigning every job to the food display.

List the proposed format and equipment

Identify a central grazing display or individual boards and ask which equipment is proposed for it. The published central-display offer describes rustic wooden tables supplied by Fables; the actual quoted arrangement still needs confirmation. List other equipment already supplied by the venue or a hire provider. Do not assume every item in a reference photograph forms part of the proposal.

Follow the guest’s use of the food

Describe where people collect or share food and where they eat. Ask which crockery, cutlery, serving pieces or other items are appropriate for the agreed menu. Supply and quantities should be confirmed with the relevant provider. If extra furniture or tableware is wanted, include it explicitly in the enquiry rather than treating it as an automatic part of grazing.

Separate preparation from guest service

Write down the setup and guest-facing assistance you want. Identify who prepares the room, positions the agreed equipment and looks after guests during the requested food period. Ask which duties and timings Fables can include. A display being supplied does not, by itself, confirm every staffing, replenishment or serving task an organiser might expect throughout the event.

Give used items an agreed destination

Ask the venue and equipment providers where used pieces should be placed and how they should be left. Keep that area available when other suppliers need the room. If you request waiting staff, describe the clearing tasks you want considered. Clearing a guest setting and preparing hired equipment for collection may involve different work, so identify both instead of relying on a broad instruction.

Keep guest waste and venue work explicit

Ask who supplies and manages bins, handles guest waste and completes the venue’s wider cleaning arrangements. Record those responsibilities beside the catering plan. Do not assume a food supplier or waiting-staff booking takes on all work in the room. Request any additional task expressly and wait for the relevant provider’s confirmation before allocating it in the final programme.

Agree the collection handover

Connect the final service and clearing with the venue’s closing access and equipment collection. Name the person available for the handover and identify any agreed holding area. If the programme or collection changes, tell the affected providers. Keep the current equipment list and responsibilities with the quotation so an event contact can see which jobs have actually been agreed.

Bring the details together

Send your preferred grazing format, equipment already available, desired service help and end-of-event requirements. Ask the quote to identify actual inclusions, separate hire or staff and the agreed collection handover. Keep unallocated tasks visible until a named provider confirms them.
