Fables catering planning

Confirm grazing food choices and guest requirements

A grazing photograph can explain the presentation you like, but it is not a confirmed ingredient list for your booking. Discuss the food selection for your event and keep food preferences separate from intolerance requests. The agreed menu, portions and requirements should be recorded before choices are communicated to guests as confirmed.

Use inspiration to explain the look

Share a small number of references and identify the details that matter to you: a central display, individual table boards or a particular atmosphere. Ask which food selection and arrangement can be proposed. Do not assume that every item visible in another display is available or included. The written quotation is the place to confirm the actual proposal.

Describe the food’s role

Explain whether guests are receiving lunch, dinner, light refreshments or food alongside another service. Include the count attending that particular service and any relevant earlier or later catering. That context supports the menu discussion. A display’s appearance alone cannot establish the food quantity or the way it should fit the rest of the event.

Keep preferences as clear requests

Tell Fables how many vegetarian or vegan portions you would like discussed and identify other food preferences without presenting them as accepted substitutions. Ask what can be proposed for the chosen arrangement. A preference for a food style is different from a confirmed menu change, and a vegetarian or vegan description does not establish allergy suitability.

Discuss intolerances before booking

Raise an intolerance early and wait for express confirmation of the proposed arrangements. Entering a request on a form is not confirmation of acceptance. Fables does not cater for food allergies and does not guarantee allergen-free food. Do not promise suitability to a guest from a photograph, label or informal assumption while a question remains unresolved.

Record only useful confirmed information

Keep the expressly agreed requirement and portion information with the booking, without guest names or medical histories. Ask how confirmed requirements should be reflected in the final details for the actual menu. Do not treat coeliac disease as an ordinary intolerance request. Direct ingredient and suitability questions to Fables rather than expecting another organiser or waiting staff to resolve an unagreed change.

Manage changes through the same contact

When food preferences, attendance or a requested requirement changes, tell the agreed booking contact promptly. Ask for any amendment to be reviewed and confirmed before updating the event team or guests. Keep one dated menu record with the current numbers and service plan. A message between organisers does not alter the supplier’s confirmed food arrangement by itself.

Bring the details together

Send the preferred format, food role, service count and clearly separated food preferences or intolerance questions. Ask for the actual selection, quantities and any accepted requirements to be recorded in writing. Do not send guests’ names or medical histories.
