Fables catering planning

Place grazing setup and food service on the timetable

A useful grazing timetable includes the work around the food as well as the time guests are expected to eat. Tell Fables when the venue is accessible, how the room will be used and which arrangements remain provisional. Ask for the actual setup and service proposal to be confirmed before using it as a promise in the wider event programme.

Start with venue access

Ask the venue when suppliers can enter and use the proposed food area. Mention delivery restrictions, shared unloading routes and any room activity that finishes beforehand. Name the person available to receive the team. An event start time does not describe supplier access, and the organiser who booked the catering may be unavailable at the relevant moment.

Show when the room is ready

Explain when tables, decorations and any other agreed equipment will be in place. Identify work handled by the venue or other suppliers and work requested from Fables. Ask how the proposed grazing arrangement fits that sequence. Do not assume food setup can happen while an unrelated room change or supplier task still occupies the same area.

Put the intended eating time in context

Record the preferred food time alongside guest arrival, speeches, ceremonies, meetings and other catering. Explain which commitments are fixed and which can move. Give the headcount for that service and the role of the food. Fables needs the actual programme and proposed menu to discuss the serving arrangement, rather than an unexplained gap on a schedule.

Distinguish setup from ongoing service

Ask which preparation, presentation and guest-service tasks the quotation includes, and what help remains with the organiser or venue. The time a display is prepared does not automatically establish an ongoing staffed service period. Describe the assistance you want, including any later clearing, and ask for the agreed work and timing to be recorded clearly.

Plan the end of the arrangement

Include the final handover, equipment collection and the venue’s closing requirements. Identify who will look after guest areas if the celebration continues afterwards. If equipment can remain for later collection, confirm the storage and access with the venue and provider. Avoid a programme that depends on unagreed work after a supplier’s booked duties have finished.

Communicate changes as one revision

A different guest arrival or room-use plan can affect more than one line of the timetable. Send revised food times, setup access and equipment arrangements together, with a named organiser responsible for updates. Ask affected providers to confirm the changes before treating them as accepted. Keep the final dated programme with the quotation and current room drawing.

Bring the details together

Send access times, room readiness, intended eating time and the final handover in one programme. Name each supplier’s responsibilities and identify the provisional entries. Ask for the proposed setup, service and equipment arrangements to be confirmed in the quotation.
