Plan the venue around the catering arrangement

Check the route, operating position, guest area and supplies together, then confirm the requirements for your booked food and equipment.

Confirm permission and the proposed position

Ask the venue or landowner to approve the intended cooking and serving area. Tell Fables about restrictions on catering, operating times or positioning before booking. A garden, hall, barn or marquee may each have details that affect the arrangement.

Share the postcode and explain whether food will be served indoors, outdoors or beside another structure. A plan or photographs can help show the proposed position, but they do not replace Fables confirming the requirements for the actual equipment and service.

Check the whole route into the site

Describe entrances, gates, height limits, steps, slopes, parking and any loading arrangements. Vehicle catering needs the approach, manoeuvring and operating position considered together. A dessert cart or indoor display also needs doorways and changes of level checked.

Give the time access is available and identify a contact who can coordinate the setup. Tell Fables about known hazards, soft ground or late venue changes. Do not infer a universal footprint or unit dimension from a gallery photograph.

Arrange the supplies for the booked services

Electricity is required under the current service terms. Fables confirms the requirements for the booked equipment, and the client must arrange a suitable supply at the agreed setup location and time. Own power can be arranged in advance at an additional price quoted and agreed in writing.

Clean-water or other utility requirements are confirmed for the booking. Wi-Fi is conditional where the services include a photobooth, DJ equipment or card machine taking guest food payments. Own power does not provide Wi-Fi. Share supply limitations before relying on the setup.

Connect food collection, eating space and the finish

Show how guests will reach the food and return to their seats or gathering area. Consider the cooking and serving position alongside other suppliers and activities, and discuss any accessibility considerations with Fables and the venue.

Agree outdoor-weather arrangements and confirm any shelter or hire item needed. Record who will provide bins, handle guest-area waste and prepare equipment for collection. Express menu-specific inclusions remain part of the written plan; wider cleaning or waste services are not automatic.

Good questions before booking

Questions before you book.

Can we use a gallery photo to work out the required space?

Use photographs as ideas, then ask Fables to confirm the access, footprint and supplies for the allocated equipment and service. Different catering arrangements have different practical requirements.

What if the venue has no electricity?

Tell Fables in advance. Own power can be arranged for an additional price quoted and agreed in writing, with the requirements confirmed for the booking.

What are the full electricity and utility requirements?

Electricity is required for our services. Fables will confirm the supply requirements for your booked equipment, and the client must arrange a suitable supply at the agreed setup location and time.

If electricity is unavailable, Fables can provide its own power for an additional charge. Please arrange this with us in advance. The price will be quoted and agreed in writing before it is added to your booking.

Wi-Fi is required where your booking includes a photobooth, DJ equipment or a card machine for taking payments from guests for food. The client must arrange a working connection that is accessible at the equipment’s operating location and provide any necessary login details. Tell us in advance if Wi-Fi is unavailable so we can discuss whether suitable alternative arrangements are possible. Supplying our own power does not provide Wi-Fi.

Any clean-water or other utility requirements will be confirmed for your particular booking.

If an agreed supply is missing or unsuitable on arrival, this may delay or prevent the affected service. We will seek a practical solution and explain any additional costs. Delay charges will reflect reasonable additional costs actually caused, up to £50 per hour, calculated proportionately, without charging twice for the same cost. This does not remove Fables’ responsibility for its own equipment or planning failures.
