Fables catering planning
Prepare a venue brief for grazing catering
The venue brief should connect the catering proposal with the place where it will operate. Gather observations and venue information rather than filling gaps with assumed requirements. Share a clear plan with Fables so the proposed format, access and working arrangements can be discussed. The final record should distinguish confirmed facts from questions still awaiting an answer.
Identify the real supplier entrance
Give the venue address and the entrance suppliers should use. Mention any check-in, restricted delivery period or instructions from the venue. Name a contact available during arrival. A postcode can identify the property without explaining where the team should go, and the organiser who booked the food may be occupied elsewhere when suppliers need access.
Describe the route to the food area
Explain steps, narrow doors, distance from unloading and any restrictions along the route. Use labelled photographs and a simple drawing to connect those observations. Ask the venue and Fables to review the proposed arrangement. Do not infer that equipment will fit or that a route is approved merely because it appears open in a photograph.
Show how the room will be used
Mark the proposed grazing position, guest seating and other event activity. Say whether a central display or table boards are preferred and how guests are expected to eat. Include any room change before or after food service. Keep the drawing connected with the actual menu role, guest count and timetable, rather than treating the display as an isolated decoration.
Record the venue’s supplied equipment
List tables, guest settings or other relevant items the venue says it provides, with the responsible contact. Keep those items separate from equipment under discussion with Fables or another supplier. Ask which working or serving arrangements are needed for the actual proposal. A broad statement that a venue is equipped for catering does not settle each supplier’s requirements or included work.
Include the end-of-service arrangement
Explain the venue closing time, any later equipment collection and the available handover contact. Identify who manages used tableware, guest waste and wider cleaning. Ask how the agreed food and equipment arrangement fits those responsibilities. Access after the meal deserves the same attention as delivery, particularly when guests or another activity continue using the room.
Issue one dated version
Bring the drawing, access notes, programme and provider responsibilities into a short record. Mark unanswered questions clearly. When a room position or time changes, send the connected information to Fables and the venue and ask for review. The event contact should hold the latest agreed brief, not a combination of old drawings and new informal messages.
Bring the details together
Send the address, supplier entrance, route observations, room plan, programme and venue contact with your enquiry. List equipment and jobs already allocated to the venue and identify the remaining questions. Keep the final supplier brief aligned with the quotation and any agreed amendments.
