LED Letter Setup: Floor, Power and Access Questions
A room photograph can show where you would like letters, but it cannot confirm the floor, electrical arrangement or delivery route. Gather those facts alongside the styling idea. They help Fables and the venue review an actual position rather than guess from a cropped image.
This is an information-gathering checklist. Equipment suitability, power requirements and installation arrangements belong with the selected display and must be confirmed for your booking.
Describe the floor at the exact position
Tell Fables what surface the display would stand on and whether the area has a change in level, nearby steps or other features that may affect the proposal. Include a photograph showing the floor as well as the wall. If the location is in a marquee or outdoors, say so explicitly.
Ask for confirmation that the selected item and proposed position can be accepted. Do not infer outdoor suitability from an indoor photograph or apply specifications from one display to another. Keep open questions marked as open until the actual arrangement has been reviewed.
Trace the delivery route from unloading
Identify where a vehicle may unload and how the team reaches the display position. Describe gates, narrow doors, stairs, lifts or a long carry route. Include the venue’s delivery window and the contact who can provide access at that time.
Photograph each potentially restrictive part of the route and label the images in sequence. This is more useful than sending many unlabelled venue pictures. Consider collection as well as setup: parked cars, locked doors or a room still in use may change the access available after the celebration.
Ask about power at the proposed display
Ask Fables what supply and connection arrangements the chosen item requires. Show the venue’s available power locations on the plan, including the relationship to doors and guest routes. A statement that the building has electricity does not explain how the display’s agreed position will be served.
Let the responsible provider and venue determine a suitable arrangement. If other entertainment equipment shares the area, include it in the same discussion. Use event power planning to collect the wider supplier information without treating the letters as an isolated socket request.
Keep the agreed position tied to the timetable
Confirm when the floor area will be clear, when installation can begin and who can approve the position. If furniture or another supplier must finish first, show that sequence. A venue access time is not the same as a display-ready time.
Record how a change will be referred to Fables and the venue. If the proposed position proves unavailable, request a review of the alternative rather than moving the display plan to the nearest spare corner. Changes can affect floor, power and circulation together.
Your finished planning sheet
- Exact position, floor description and a photograph including the surrounding area.
- Labelled delivery-route photographs and venue access windows.
- The selected display’s confirmed requirements and the venue’s power information.
- Named access contact, display-ready time and an agreed change-contact route.
Questions to settle
Can we choose a cable route ourselves?
Show the power locations and routes people use, then have the provider and venue confirm the arrangement. The checklist gathers facts; it does not replace their review of the actual installation.
Does an outdoor event need different questions?
State the outdoor or marquee setting clearly and ask about suitability for the selected item. Ground, access and conditions need discussion; no outdoor arrangement is confirmed by this guide.
