Plan LED Letters Beside a Dance Floor

Letters and a dance floor can form the same visual centre of a reception, but they also need different areas to work. The floor is active space; the display may attract people who stop for photographs. Plan both activities together rather than treating a shared wall as the only decision.

Use actual confirmed dimensions for the selected items. A published display height or the total room size does not establish how the complete evening arrangement will fit.

Draw the usable evening layout

Start with the room as it will be used for dancing. Mark retained tables, seating, entrances and the DJ or band. Add the proposed floor and letter positions using the providers’ confirmed footprints, and label any dimension still awaiting an answer.

Separate the footprint of the letters from the space guests need in front of them. Consider a small group posing while others dance or pass through. Ask the venue to review its circulation needs against the whole drawing, not just the gap between the floor and a wall.

Compare the suppliers’ positions

Ask the entertainment team where they expect their equipment to stand and when they need access. Show them the letters and floor proposal. A position that works for a display photograph may already be part of the DJ’s operating area or a route used for equipment setup.

Discuss the lighting around the letters at the same time. The dance floor service page and sound and lighting guide help you collect the right questions. Include the actual agreed arrangements for each service in its own quotation scope.

Plan the change from dinner to dancing

If the room has a dining layout first, draw that separately and identify what moves. Ask whether the letters can have one agreed position across both uses. Any requested relocation needs advance confirmation of feasibility, responsibility and timing.

Name the person coordinating the room change and the point at which suppliers receive the clear space. Include power and collection access in the final plan. An evening layout is not complete if it fits on paper but depends on unnamed people moving equipment during the event.

Your finished planning sheet

  • A separate evening layout, with retained furniture and all entrances shown.
  • Confirmed letter and floor footprints, plus guest photograph space.
  • DJ or band position, nearby lighting and the agreed power discussion.
  • Named changeover lead, access windows and any expressly accepted relocation.

Questions to settle

Can we put letters directly beside the floor?

Show the desired arrangement to Fables and the venue. The selected items, photograph space, guest routes and entertainment equipment need to be reviewed together before the position is confirmed.

Does booking both items settle the setup sequence?

Ask for the sequence and responsibilities to be agreed. A combined enquiry should still identify each item’s position, access and timing rather than assume the suppliers can resolve every overlap on arrival.
