Fables event hire

Plan outdoor hire around the whole site

An outdoor event works better when the hire positions and access arrangements are considered together. Bring the marquee, portable toilets, bell tent, inflatable activity and guest routes onto one plan, then confirm the requirements for each item.

Draw the practical site before adding extras

Mark the guest entrance, permanent facilities, serving areas and any proposed marquee or activity space. Show the route guests will use between them, including how they will find the toilets and leave at the end of the event.

Keep delivery and working areas visible on the plan too. A location can look suitable in a photograph while the route into it has a narrow gate or restricted access. Send both the proposed positions and the delivery approach with your enquiry.

Confirm each footprint and its intended use

A tent diameter, photograph or item name is not the complete setup requirement. Ask for the full working footprint, fixing or clearance needs and ground requirements for the actual item being offered.

Tell us whether a bell tent is intended as a lounge, changing area or overnight setup. For an inflatable, include the age groups and proposed use. Standard portable toilets need their facilities, number and servicing arrangements discussed separately; no single item description covers every guest requirement.

Connect supplies and timings to the chosen locations

Show where power or any other agreed supplies will be available and ask for the requirements of each booking to be confirmed. A supply at a distant building may not resolve what is needed at the operating position.

Agree delivery, setup, servicing and collection windows with your venue. Consider what access will still be available after guests arrive or when another structure has been installed. Share one contact and timetable across the separate hire arrangements.

Discuss weather and changes before the day

Ask each provider what weather arrangements and operating instructions apply to the selected item. Discuss any alternative position before relying on it, because different ground, indoor height or access can change what is suitable.

Check the final plan with your venue, including the intended use and any particular access or facility needs. Keep the agreed conditions and responsibilities with the organiser rather than leaving them in several separate message threads.

Good questions before booking

Questions before you book.

Can we use the same plan for different hire items?

Yes. Show all proposed positions, guest routes and delivery access on one site plan, then confirm each item’s particular footprint, ground, utility and operating requirements separately.

Does a tent diameter tell us its capacity?

No. Intended use, furnishings, layout and the actual setup matter. Discuss the number of people and the proposed use rather than treating a diameter as a sleeping or guest-capacity promise.

What if we have a wet-weather alternative?

Send the alternative location and its dimensions, access and restrictions in advance. Ask whether it is suitable for each chosen item; an alternative space is not automatically an agreed setup.
