Plan PA requirements across more than one event space
A ceremony, drinks reception and evening party may happen in different places. Describe each sound requirement against its actual location and time before asking how equipment should be arranged. A simple location-by-time matrix shows overlaps that a general request for event sound can miss. Fables can then discuss the appropriate proposal with you, including any separate setups or agreed movement between spaces.
Map moments to locations
Map each sound moment to one location and note any simultaneous use. Include setup and checking periods as well as the public programme. Two guest activities may be sequential while preparation for the second begins during the first. Make that overlap visible so the supplier can distinguish it from a straightforward move after a space becomes clear.
Ask how each space will be served
Ask which system or arrangement is proposed for each space rather than assuming wireless reach or relocation. A microphone described as wireless does not establish coverage between rooms or equipment availability in a second area. State what guests need to hear in each location and ask the supplier to confirm how the proposed arrangement addresses those moments.
Check equipment already in each room
Record venue/DJ equipment already available in each location. Name the provider and contact for each confirmed existing system. Check whether it can be used during your booking and what operation is included. Keep an unconfirmed venue statement separate from equipment that is explicitly available for the event programme.
Discuss any move or reset
Discuss any equipment movement, access, testing and responsibility between event phases. Identify the route between spaces and who controls access to each area. If movement is proposed, agree who carries it out, what preparation is needed and what check follows. Avoid scheduling a fixed changeover period until the relevant people have confirmed it.
Maintain a location-by-time matrix
Prepare a location-by-time coverage matrix for supplier confirmation. Give every location a consistent name and send the matrix with the matching plan. When two programme moments are rearranged, review the overlap again. A single current matrix is easier to assess than a main timetable accompanied by several separate room-change messages.
| Record | Detail to agree |
|---|---|
| Space | Consistent venue or site area name |
| Sound moment | Audience, programme entry and intended time |
| Existing supply | Confirmed venue or performer equipment |
| Proposed arrangement | Separate setup, movement or question for Fables |
| Handover | Named organiser, access and agreed checking point |
Questions about this worksheet
Can the same PA be used in several rooms?
Explain the requirements, locations and times, including overlaps. Ask Fables which arrangement is proposed and what any movement involves. Neither separate systems nor a relocation should be assumed from a general equipment hire description.
Should preparation appear on the matrix?
Yes, show the access and checking periods you need discussed alongside guest activity. Their exact arrangements must be agreed, but including them early makes potential conflicts with simultaneous sound requirements easier to identify.
