A room change works best when the event team knows what moves, who moves it and when the next supplier can use the space. Start with two clear layouts and connect them with a realistic handover plan.

Draw the room before and after the change
Mark dining tables, chairs, entrances and service areas on the first layout. On the second, show the dancing area, DJ or band, sound and lighting equipment and any large decorative features. Both drawings should use the same room dimensions and fixed points.
If ceremony chairs will later be used at dining tables, include that earlier move too. Count furniture for each stage rather than assuming one total explains the whole day. Ask the venue which areas can hold moved furniture while the next setup takes place.
Assign the furniture movement
Agree who will move the tables and chairs, when the first room needs to be clear and who will tell the next supplier it is ready. A general event start time is less useful than a clear sequence of handovers.
Share the sequence with the venue, caterer, entertainment suppliers and anyone responsible for furniture. If waiting staff or another service is expected to help with clearing, have the specific tasks and service hours confirmed in the booking.
Connect the dance floor and equipment positions
Tell Fables which dance floor style you prefer and send the usable dimensions with the table and DJ positions. Include the proposed surface, installation route and any power arrangement for the selected floor. Mark LED letters on the same plan.
Ask the DJ and venue what lighting and audio equipment are already provided, what remains to be hired and who will operate it. Allow time for the agreed setup and checks before guests return to the space.
Keep the final version together
Put the confirmed layouts, item quantities, supplier access and handover responsibilities beside the event timetable. Keep collection and any later furniture moves in the same plan so the end of the evening is covered too.
If timings or the room arrangement change, tell Fables and the affected suppliers promptly. Ask for revised arrangements to be confirmed before relying on them. A clear shared version helps everyone work from the same expectations.
