Agree a PA operator handover and sound check
A PA booking needs a clear operating plan as well as an equipment list. Establish who manages microphones and playback at each point, what assistance has been agreed and how the organiser hands over the final programme. Use a check and handover sheet to connect those decisions. Ask Fables for the instructions and support arrangements applying to the actual equipment proposed for your event.
Name operators by programme period
Identify the agreed operator for speeches, playback and performer moments. One person may manage introductions while someone else handles music later. Record the point at which responsibility changes and make sure both people know it. Naming an operator removes ambiguity that otherwise remains hidden in phrases such as someone will sort the sound.
Define the assistance being booked
Record what setup help is included and which tasks remain with the organiser or performers. Separate equipment delivery, setup help and operation during the event when discussing the quote. Ask what the proposed assistance covers and identify any remaining jobs. The organiser should be able to explain that division to a replacement event contact without relying on an earlier conversation.
List what the check needs to cover
List intended microphones and sources for an agreed check before guests need them. Include the intended microphones, playback device and any performer contribution requiring review. Ask the relevant providers how and when the agreed check will happen. If a source changes afterwards, tell the operator and supplier so they can decide what needs checking again.
Record programme handovers
Record handover points, contact details and how changes are escalated. Keep the cue list, current programme and named contacts together. Highlight changes affecting introductions, speaking positions or playback. Agree who can authorise an adjustment during the event and who should be contacted when the requested change falls outside the settled arrangement.
Use the actual equipment instructions
Prepare a handover checklist using supplier instructions rather than generic equipment operating advice. The sheet records responsibilities and decisions; it should not invent settings or substitute generic operating tips for the supplier's guidance. Make sure the agreed operator receives the applicable instructions and knows the documented support contact before the organiser moves on to other event duties.

Questions about this worksheet
Is an operator automatically included with PA hire?
Ask Fables to specify the assistance and operation included in your quotation. The published offer describes equipment and setup help, but each event's division of tasks needs agreement rather than an assumption about continuous attendance.
Can this sheet explain how to operate the equipment?
Use it to record responsibilities, sources and handovers. The operator should use guidance for the actual supplied equipment and agreed support arrangements; this planning sheet does not provide equipment-specific settings or operating instructions.
