Prepare a useful brief for your event hire suppliers

A good hire brief combines the items you want with the place and timetable they need to fit. You can start with estimates, provided you make clear what is confirmed and what still needs discussion.

Set out the event facts first

Give the event date, venue postcode, occasion and approximate guest numbers. Explain which spaces will be used, whether they are indoors or outdoors, and the main times that affect installation or service. If the venue has several entrances, identify the one suppliers need.

A room or site plan helps turn an item list into a practical enquiry. Add dimensions, entrances, fixed furniture and the proposed areas for dining, food service, entertainment and guest routes.

List items by what they will do

Separate ceremony seating, dining furniture, food-service tables and other guest areas. Add plates, glasses, cutlery and serving pieces around the menu rather than guessing one tableware total. State whether furniture is expected to move during the day.

For audio and visual hire, list speeches, presentations, background music, performances and dancing with their times and locations. Include microphone or playback requirements from speakers, DJs and musicians, and note what each supplier or the venue already provides.

Bring access, power and permissions together

Tell Fables about steps, unloading distances, access windows and any venue restrictions. Collect the power requirements and operating times for equipment brought by other suppliers, and show its position on the same plan.

For lighting, include the areas to cover, distances and potential fixing points for review. Smoke effects need the venue’s permission and confirmation of the proposed arrangement. Discuss any required Wi-Fi separately from power, because providing one does not provide the other.

Use the quote to confirm responsibilities

Ask for the agreed items, quantities, dates and assistance to be clear in the written quotation. Confirm who handles delivery, installation, operation, furniture movement, clearing and collection where those tasks form part of the plan.

Keep estimates labelled until they are confirmed, and send later changes through the same conversation where possible. An enquiry does not reserve equipment or dates; Fables will check availability and confirm the booking arrangements. One shared brief gives the venue and suppliers a useful reference for the final event plan.
