Check a Proof for Personalised Event Items

A proof check should cover more than whether the design looks attractive. Wording, quantity, size where specified and the intended item all need to match the arrangement being discussed.

Agree the actual approval process with Fables. This guide does not promise a number of revisions, production turnaround or acceptance of a later amendment.

Agree proof and feedback process

Ask how proofs will be supplied, who should return feedback and when the response is needed for the proposed booking. Name the organiser who will consolidate the decision rather than inviting several competing approvals.

Keep the process connected to the current item schedule. A proof for one piece should not be taken as approval of every other proposed item or as confirmation that all earlier ideas form part of the order.

Read once for text and once for specification

Read once for text and again for the specification the proof represents. Check spelling, names, dates, capitalisation and punctuation against the approved wording source. Then check the item, quantity and dimensions where those have been specified.

If the proof does not show a detail you need confirmed, ask for an explicit answer. Do not write your own assumption into the planning sheet and treat it as part of the provider's accepted specification.

Consolidate comments

Collect comments from the relevant people and turn them into one clear response. Identify the exact item and proof version, and distinguish a correction from a new design request so the provider can understand the change.

Avoid sending disconnected messages that contradict one another. Ask the lead approver to check the consolidated response before it is returned, particularly where a repeated name or date affects several personalised pieces.

Record approval date and version

Record the version approved and the date of the decision. Keep the accepted proof and specification together so the setup or delivery contact can identify what is expected without searching through the inspiration folder.

If you maintain a master wording file, note the accepted item reference there too. That makes it easier to compare related details while preserving each provider's actual confirmation process.

Ask how later amendments are considered

Use the agreed contact route for a later change and identify the approved version it affects. Ask what can be considered and whether the specification, timing or quote needs revision.

Do not assume that editing a shared file changes an accepted order. Keep an amendment marked as requested until Fables confirms it, then update the relevant personalised details plan and clearly supersede the old version.

Your finished planning sheet

  • The actual proof and feedback process agreed with Fables.
  • Text checked separately from item and quantity details.
  • One consolidated response from the lead approver.
  • The approved version and date retained.
  • Later amendments treated as requests until confirmed.

Questions to settle

Does changing our document after approval amend the order?

No. Tell Fables the exact change requested and rely on the revised arrangement only after it is expressly confirmed.
