Create One Master Wording File for Your Event
Repeated event wording is easier to check when it comes from one agreed source. Otherwise, signs, place cards, toppers and other details may be prepared from different spellings or old dates.
A master wording file is an organiser's planning aid. Each provider still needs to confirm its own specification, proof and acceptance arrangements.
Collect repeated text in one file
List the text that repeats across items, such as the event title, date, names or a short message. Give each entry a clear label and link it to the relevant proposed items.
Keep longer content, such as an individual table menu, attached to the item it belongs to. The aim is not to force every piece to use the same words, but to make repeated facts easy to compare and approve.
Set exact capitalisation and punctuation
Write the intended capitalisation, spelling and punctuation exactly. Read names and dates directly from the approved source instead of retyping them from memory in several separate messages.
If a detail is unresolved, label it as draft. Do not leave an uncertain spelling in a file headed final simply because the rest of the content has been decided. Ask the relevant person to confirm the exact version before approving a proof.
Mark draft versus approved text
Use an obvious status for each entry: draft, awaiting confirmation or approved for the particular item. Keep the accepted proof reference beside the relevant wording once it is available.
A change to your master file does not automatically amend an order or a provider's accepted proof. Send the specific requested change through the agreed route and obtain confirmation before treating the item as updated.
Name the version owner
Nominate one person to maintain the current version and consolidate feedback. Give the file a date and make clear when it replaces a previous one. That person should know who can approve the repeated facts.
Share only the information each provider needs. A general wording file should not carry unnecessary personal guest details or private notes simply because it is convenient to keep all planning data together.
Cross-check cake, signs and letters
Compare the relevant text on signs, cake details, letters and table items before each approval. Use the actual proof or specification from each provider, not only your original ideas list.
Coordinate personalised event details, cake wording and letter or heart requests as separate confirmed arrangements. The master source helps consistency, but does not replace each supplier's own acceptance process.
Your finished planning sheet
- Repeated facts labelled and linked to the appropriate items.
- Exact spelling, date format, capitalisation and punctuation.
- Draft and approved text clearly distinguished.
- A named owner and a dated current version.
- Each provider's actual accepted proof checked separately.
Questions to settle
Does updating our master file change an accepted proof?
No. Tell the provider which amendment you request and obtain its confirmation through the agreed process.
