Create a Standard Portable Toilet Delivery-to-Collection Plan

The person choosing portable toilet hire may not be the person welcoming the delivery team or opening the venue for collection. A short handover sheet helps those people work from the same accepted arrangements.

Keep the sheet about practical responsibilities. It should reproduce confirmed booking details and identify open questions, rather than turning earlier ideas into assumed inclusions.

Record the agreed hire details

Start with the event name, date, venue address and the standard portable toilet hire agreed with Fables. Record the accepted quantity, positions and hire period, together with the reference or dated quotation your team should use.

Keep provisional matters clearly marked. A suggested extra unit, changed position or additional day should not appear on a final sheet as confirmed unless Fables has accepted it. Give one person responsibility for updating the sheet when the booking changes.

Confirm delivery readiness

Add the delivery window, named entrance and receiving contact. Include the route instructions accepted with the venue and explain who can open any controlled gate. Make the proposed positions identifiable on a simple plan.

Review the site shortly before delivery against those arrangements. Supplier vehicles, parked cars or stored equipment may have changed the available space. If something affects the accepted route or position, tell Fables and the venue rather than expecting the delivery team to resolve an unreported change.

Assign routine event checks

Record who will make routine checks during the event and where they can find the agreed supply and service information. Keep this separate from technical work or servicing that only the provider should undertake.

The sheet should say how to report a concern and identify the relevant unit position. Ask Fables to confirm any instructions needed for the particular hire. Do not copy handling procedures from a different type of equipment or assume every unit has the same arrangements.

Keep the current site contact

Use a reachable event contact during guest use and identify a replacement if that person leaves. The venue and supplier need to know who can answer a site question or approve an organisational change.

Share only the details needed by each recipient. A practical facilities sheet does not need guests' medical histories or a public list of personal telephone numbers. Discuss particular requirements privately with the appropriate people and record only the confirmed practical arrangement on the general plan.

Confirm collection and venue clearance

Set out the confirmed collection window, access contact and venue-clearance requirements. Ask how the site should be left for collection and keep the agreed approach available after the celebration has finished.

Place this sheet alongside the wider supplier plan. A change to marquee clearance, parking or the venue's closing time may affect several providers. Circulate the final dated version to the people who will actually be present at each handover.

Your finished planning sheet

  • Accepted hire details and the quotation version to follow.
  • Confirmed delivery route, position and receiving person.
  • Routine check and issue-reporting responsibilities.
  • Current contacts for the event and final collection.
  • One dated plan shared with the people carrying out each handover.

Questions to settle

Can the sheet replace the written quotation?

No. It is a practical summary of the accepted arrangement. Resolve any conflict with Fables and update the sheet to match the confirmed booking.
