Plan a permitted smoke effect for an entrance or dance moment
A featured entrance or dance moment needs a clear cue plan once the effect itself has been reviewed and permitted. Explain the requested moment, the people involved and how it relates to music or lighting. Ask Fables and the agreed operator what can be provided with the actual equipment. The cue sheet should describe that agreed arrangement and retain the venue conditions alongside it.
Identify the single featured moment
Name the single intended moment, space and approximate duration of requested use. Give the moment a recognisable name in the running order and state where participants will be. Describe any requested period of use as a preference for review. Avoid treating an inspiration video's length or appearance as confirmation of what the booked machine can deliver.
Connect it to permission
Confirm venue permission for that moment before planning delivery. Keep the venue's answer with the entry for this moment and note any conditions. A permitted effect in another setting is not an approved instruction for yours. If the featured moment moves to a different space, take that change back through the relevant venue and supplier review.
Name the related cues
Record the music/lighting relationship and who calls the cue. State who starts the music, introduces the participants and contacts the effect operator. These may be different people, so make their handovers explicit. Share the intended sequence with the relevant providers and record what has been agreed instead of leaving each person to infer the cue from the music.
Ask about the actual operation
Ask the operator to confirm achievable timing, setup and any agreed check using the actual equipment. Ask who operates the machine, what assistance is included and what check or discussion opportunity is available. Use the supplier's instructions for the proposed equipment. The organiser's role is to coordinate the moment, with equipment-specific timing and use confirmed by the responsible provider and operator.
Issue a clear cue and contact sheet
Prepare a cue/stop/contact sheet based on supplier instructions without promising duration or coverage. Keep the cue caller, operator and venue contact together with the reviewed programme entry. Record how a delay or change is communicated using the agreed procedure. Circulate the same dated sheet to the relevant people and remove superseded versions from the event pack.
| Record | Detail to agree |
|---|---|
| Moment and place | Running-order reference and participant position |
| Permission reference | Venue decision and applicable conditions |
| Related cues | Music, introduction and lighting handovers |
| Agreed operator | Person and assistance confirmed for the actual hire |
| Change contact | Agreed route for communicating a delay or change |
Questions about this worksheet
Can a cue sheet promise the effect's duration?
Describe your requested use and ask the supplier and operator what can be agreed for the actual equipment and venue arrangement. This sheet coordinates responsibilities and programme cues; it does not establish a product's coverage, duration or operating specification.
What if the entrance or dance is delayed?
Use the communication process agreed with the operator and relevant suppliers. Identify the affected programme entry and any venue condition that needs reconsidering, then update the shared running order rather than improvising equipment instructions through guests.
