Plan waiting staff hours and duties

Build the staffing brief from the work you want done. Fables’ current waiting staff page describes service roles and booking information; your own quotation should confirm the team, duties and hours agreed for the event. This guide helps you prepare those details together.

Start before the first guest arrives

List preparation or setting-out duties you want considered, such as arranging tables or getting a service area ready. Identify which jobs are already covered by your venue, caterer or another supplier, and what must be available before the next task can start.

Give the venue’s access and room-ready times. Explain where staff enter, who they meet and where agreed equipment will be. Ask Fables to confirm whether the requested preparation is included and how it affects the proposed start time.

Map service as a sequence

Write down guest arrival, drinks, canapés, food service and any later activity requiring support. Include changes of room, separate arrival groups and parts of the programme when service should pause or move elsewhere.

Connect each requested duty with the food or drink arrangements already booked. The catering service styles guide helps you describe how guests receive food, but the staffing and duties still need to be agreed for your own event.

Separate the team from the equipment

Identify the provider and location of food, drinks, serving pieces and guest tableware. Record who sets out each item and who receives it afterwards, rather than assuming that one supplier covers every step.

If additional tableware is required, use the vintage crockery enquiry page to discuss the pieces and quantities. Keep that equipment request alongside the staffing brief so the agreed tasks and handovers connect.

Give clearing and collection their own entries

Record clearing guest tables, moving used items, packing hired equipment and preparing it for collection as separate jobs. Say which tasks you want staff to cover and which the venue or another provider has agreed to handle.

Confirm where used items go and when staff finish. If a venue or supplier changes the timetable, ask Fables to confirm any revised staffing arrangement. Use the catering quote checklist to check the complete proposal before booking.

Prepare your enquiry

Send the date, venue postcode, attendance, running order, duties and food or drink providers. Identify unresolved access, equipment or return arrangements. Ask the quote to state the current rate, minimum booking period, proposed team, start and finish, and agreed responsibilities.

Send your waiting staff brief. Fables will check availability and discuss the service requirements for your event.
