Fables catering planning
Prepare a simple final catering handover for a wake
The person who enquires about catering may be attending another part of the day when suppliers arrive. A simple handover brief can help someone else receive the team using the arrangements already agreed. Keep the record practical and current: food, numbers, venue, times and responsibilities, with questions clearly separated from confirmed decisions.
Start with the actual booking
Identify the menu, agreed quantity and catering service confirmed in the quotation. Keep optional ideas or requests still awaiting an answer separate. The handover summarises the booking; it does not create additional inclusions. If the person receiving the team did not arrange the catering, make sure they can find the current quote and know the agreed booking contact.
Add the useful timetable
Include supplier access, the intended food time and the final handover or collection arrangements. Show any preceding service or venue activity that affects those entries. Mark estimates and fixed commitments clearly. The reception contact needs the actual current programme rather than an early food time shared informally before the venue access or other arrangements were confirmed.
Attach a clear venue note
Give the address, supplier entrance, proposed food position and any relevant access restriction confirmed with the venue. Name someone available to answer a practical arrival question. A labelled sketch can connect the information. Keep any alternative position provisional until the venue and Fables have considered its effect on the agreed catering arrangement.
Allocate equipment and surrounding tasks
List what the venue, Fables and other providers supply and who handles the agreed setup, guest service and clearing. Include used tableware, guest waste and venue cleaning as separate responsibilities. Ask about a task if nobody has accepted it. The handover should make gaps visible rather than silently assigning every remaining job to the catering team.
Carry confirmed food details appropriately
Keep relevant expressly agreed intolerance arrangements and portion information connected to the confirmed menu, without guest names or medical histories. Fables does not cater for food allergies. Direct an unexpected ingredient or suitability question to the agreed catering contact; the handover should not invite an organiser or guest to make an unagreed substitution during service.
Give the record one owner
Choose a contact to maintain the dated brief and pass agreed updates to the venue and suppliers. If numbers, food choices or times change, ask for the catering amendment to be confirmed before revising the handover as an accepted arrangement. Make sure the person available during arrival and the final handover has the latest version, not several conflicting message threads.
Bring the details together
Keep one dated page with the agreed food and count, venue access, timetable, provider tasks and available contact. Attach it to the current quotation and venue plan. Ask Fables to review any requested amendment before giving the reception team an updated record as confirmed.
