Fables catering planning
Confirm food choices and requirements for a wake
A useful menu record separates what you would like from what the caterer has actually confirmed. Discuss the preferred food and any intolerance question before booking, then keep only the relevant agreed details with the catering plan. There is no need to distribute guests’ names or medical histories among the people helping organise the gathering.
Begin with the published food options
Fables’ funeral offer uses the existing buffet, afternoon tea, grazing and canapé menus as starting points. Identify the format and selections you would like considered, alongside the guest estimate and intended time. Ask for the actual menu and quantities to be proposed. A reference photograph or food preference is not a confirmed ingredient list for the booking.
Keep preferences distinct from requirements
Describe food preferences clearly and ask what choices can be discussed. A preference for vegetarian or vegan food is not the same as an accepted intolerance arrangement, and a label does not establish allergy suitability. Keep any alternative choice visibly provisional until the relevant food selection and portion information have been expressly agreed with Fables.
Raise an intolerance before booking
Explain an intolerance question through the agreed catering contact and wait for confirmation of whether an arrangement can be accommodated. Entering a request on a form does not confirm acceptance. Fables does not cater for food allergies and does not guarantee allergen-free food. Do not promise a guest that a food option is suitable while the supplier’s answer is still outstanding.
Record the useful information only
Keep the confirmed requirement and portion count with the actual menu and booking details. Avoid guests’ names or medical histories in the catering brief. Coeliac disease requires separate consideration and must not be treated as an ordinary intolerance request. Direct ingredient or suitability questions to Fables rather than asking another organiser to infer an answer from a menu description.
Connect requirements with the correct service
If the day includes another food service or another supplier, identify which menu and group each confirmed arrangement relates to. An acceptance for one service does not automatically establish suitability for a different menu or provider. Keep the relevant portions beside the current count for the reception so the people receiving the food have the agreed information without unnecessary personal detail.
Confirm changes through one contact
Choose an organiser to maintain the current menu, counts and confirmed requirements. Tell Fables promptly about requested changes and ask for review before treating an amendment as accepted. Give the event contact the final agreed record with the quotation. A conversation between organisers or an updated personal guest list does not alter the supplier’s confirmed catering arrangement by itself.
Bring the details together
Send the preferred menu, service-specific guest estimate and clearly separated food questions. Wait for express confirmation of any accepted intolerance arrangement and keep the relevant portions with the final details. Please do not include guest names or medical histories in the catering enquiry.
